    About

VIZOR is a material coating technology company with offices in NYC and NJ. The company has created a suite of active ingredients and specialty raw materials that go into various consumer goods. The team is comprised of some of the leading technical minds in personal care with over 50 years of combined experience in the industry.

We are looking for a highly organized, tech-savvy Logistics & Warehouse Inventory Coordinator to manage shipping documentation, carrier coordination, freight scheduling, shipment tracking, and the organization of warehouse inventory.

This is not a traditional picker/packer or basic warehouse stockroom role. The ideal candidate understands logistics paperwork, freight coordination, inventory systems, and warehouse organization. This person should know exactly what is in the warehouse, where it is stored, how it is labeled, and how materials should move through the facility.

    Key Responsibilities Compensation

    Shipping Documentation & Freight Coordination

    • Prepare accurate shipping documents, including packing lists, Bills of Lading, commercial invoices, labels, and other required shipment paperwork
    • Generate shipping labels, invoices, and shipment records using company software and carrier platforms
    • Coordinate outbound freight and parcel shipments with logistics carriers
    • Call and follow up with freight carriers, parcel carriers, vendors, and internal teams to confirm pickups, delivery timing, and shipment requirements
    • Track shipments and proactively resolve delays, missing information, pickup issues, or documentation problems

    Warehouse Inventory Ownership

    • Own the organization, labeling, and storage logic of the warehouse
    • Know warehouse inventory in detail, including what materials are on hand, where they are stored, and how they are categorized
    • Maintain accurate inventory records using ERP, inventory, and shipping systems
    • Verify inbound and outbound materials against purchase orders, packing slips, invoices, and shipment documents
    • Ensure materials are stored clearly, logically, and safely so they can be found, counted, and shipped efficiently
    • Assist with cycle counts, inventory audits, and reconciliation of discrepancies

    Carrier, Vendor & Internal Communication

    • Communicate proactively with carriers and vendors to resolve shipment and logistics issues
    • Work with internal teams to meet shipping deadlines and ensure documentation is complete
    • Escalate problems quickly and take initiative to get issues resolved
    • Follow up aggressively when shipments are delayed, unclear, or missing required documentation

    General Operational Support

    • Support labeling, staging, receiving, and shipment preparation as needed
    • Maintain clean, organized shipping and inventory areas
    • Assist with other shipping, receiving, logistics, and inventory-related tasks as required

    Requirements

    • 2–3 years of experience in shipping, logistics, freight coordination, inventory control, or warehouse operations
    • Experience with freight shipments is strongly preferred
    • Experience with small parcel shipping platforms, Bills of Lading, packing lists, and shipment documentation
    • Strong computer skills and comfort learning ERP, inventory, and shipping systems
    • High attention to detail and strong organizational skills
    • Ability to create and maintain logical warehouse storage systems
    • Comfortable communicating with carriers, vendors, and internal teams
    • Self-starter who takes initiative and follows through without waiting for constant instruction
    • Comfortable calling carriers, asking questions, and pushing to resolve shipment issues
    • High school diploma, GED, or associate degree required

    Important Fit Note

This role is best suited for someone with a logistics, shipping coordination, freight documentation, and inventory control background. It is not primarily a receiving, stocking, picking, or packing position.

Candidates who are not comfortable using computer systems, managing shipment paperwork, owning inventory accuracy, organizing warehouse materials, or proactively solving logistics problems will likely not be a good fit.

    Compensation

    • Annual bonus (up to 10% of salary)
    • 401 K
    • Annual raises based on performance
    • 9 to 5 shift with Early Fridays
    • Company paid holiday between Christmas and New Year
    • Medical and Dental coverage
    • Company paid Health Savings Account (HSA) of $2,600/year
