The front desk administrative support position is an ideal role for someone who is invested in delivering quality support, service, and care that can help both internal partners and external customers succeed. This role serves as the primary receptionist for Montana State Fund, supporting all departments with a variety of duties, including customer service, administrative support, mailings, and organization. The front desk administrative assistant should be an excellent communicator have strong time management skills to ensure administrative assistant and customer service duties are accurately and efficiently delivered.
This Monday-Friday, 8am-5pm position is located on-site at the Helena, Montana office location.

What You Will Do
Greet and assist walk-in customers. (60%)
Provide administrative support to policy and claims functions, and telephone backup to Customer Service Specialist. (20%)
Security Protocol Expectations. (20%)

Key Activities
- Warmly greets and welcomes visitors. Directs visitors as needed and announces them appropriately.
- Answers questions in person and by telephone; responds to inquiries by employees and customers, and refers, when necessary, to the appropriate person, official, or department.
- Accepts and signs for delivery of letters, packages, etc. and distributes them either personally or through interoffice mail system.
- After training and guidance will be familiar with all elements of MSF Building Security Guidelines
- Supports building security by following all aspects of the Building Emergency Action plan (BEAP).
- Visitor Management - Responsible for signing visitors in and out on the visitor log, issuing badges, and properly assuring visitors are escorted by an MSF employee.
- This position acts as a central point of communication for emergencies and will be given the autonomy to react to any emergency and be comfortable using their own judgement when managing security expectations.
- Receives payments from customers and ensures delivery of funds to Finance department.
- Provides backup support to CEO and President’s Executive Assistant as requested.
- Provides a variety of administrative/clerical support duties for the team including payroll report entry and handling various sized mailings and documents.
- Completes research and follow-ups on return mail.
- Assists with preparing and mailing policy packets to customers.
- Provides backup support to customer service specialists and claim assistants including, but not limited to, customer inquiry support (telephone and email), and claim file sorts.
- Provides responsible and confidential daily administrative support including organizing, coordinating, and maintaining of complex information for the organization.
- Familiar with a variety of organization concepts, practices, and procedures.
- Other duties as assigned and directed by supervisor or other leaders.
Required Experience
What You Will Need ( Minimum Requirements )
Required :
- High school diploma or GED and
- Two (2) years of progressively responsible customer service, administrative or clerical work experience.
Preferred :
- Relevant designations and certifications.
Job Location: On-site: Helena, Montana
Annual Compensation Range: $31,300 - $39,000, Non-exempt
(~$15.05-18.75/hr)
