    LOOMA BACKGROUND

    Looma exists to connect shoppers to the people and stories behind food & beverage products. Our first product, Loop™ At-Shelf Maker Stories, is a network of smart tablets in grocery stores that play short, human-centric films connecting producer to consumer. The data generated by Loop™ fuels our proprietary film production and optimization processes, forming a flywheel we believe will one day power the world's most sophisticated platform for human-centric point-of-decision video.

    POSITION SUMMARY

    The Business Operations Coordinator will play a crucial part in the development and ongoing management of Looma's internal collaboration tools and processes. In addition to owning some of Looma's key operational functions, this position will work across departments to solve problems and establish best practices. The best candidates will be extremely organized, eager to learn in a fast-paced environment, and will find deep joy in multiplying the efficiency / productivity of those around them.

    THE RESPONSIBILITIES FOR THIS ROLE CAN BE SPLIT INTO THREE PRIMARY CATEGORIES:

    1. Internal Technology Management & Software Support: 40%
    2. Customer Invoicing & Payment Collections: 30%
    3. General Administrative Support: 30%

    Internal Technology Management & Software Support (40%)

    • Become a mini-expert in the software tools that comprise Looma's core tech stack; serve as a resource on technology best practices for new employees
    • Research best practices and efficiency hacks to optimize Looma's productivity tools
    • Maintain up-to-date versions of internal tools and software guidelines
    • Make recommendations for process improvements

     

    Customer Invoicing & Payment Collections (30%)

    • Create customer invoices in Looma's accounting software using contract data provided by the sales department 
    • Maintain accurate, up-to-date customer accounting contact records
    • Follow-up with sales team members when required to ensure accuracy of customer and invoice data 
    • Manage Looma's collections cadence for all customers with past-due balances; communicate with customers via email and phone, escalate internally when necessary

     

    General Administrative Support (30%)

    • Support Internal Operations department leads with various administrative tasks, including annual report filings and insurance admin
    • Provide administrative support and coordination for companywide functions, including virtual all-hands meetings, in-person team gatherings, quarterly planning, and company sprints
    • General virtual “office” management, including oversight of virtual mailbox, updating employee-facing intranet sites and other digital resources

     

    ATTRIBUTES

    • Strong attention to detail; ability to regularly produce accurate, error-free work
    • Strong communication skills; ability to communicate effectively and gracefully with both internal and external stakeholders of all levels of seniority
    • Exceptional organizational skills, and an enthusiasm for using organization and systems to help others supercharge their productivity 
    • Ability to take initiative and solve problems while also knowing when to ask questions 
    • Enthusiasm for working cross-departmentally and building structure in a fast-growing, constantly changing startup environment 
    • Extensive tech experience is not required for this role, but an aptitude for and interest in learning technology is key to making it a successful fit

     

    STRUCTURE & COMPENSATION 

    Looma will provide a competitive compensation package consisting of base salary and stock options. All Looma compensation packages include cash / equity flexibility (i.e. you can opt for more equity and less cash or vice-versa).
