    JOB SUMMARY

    Provides diversified support to all areas of the department.  Responsible for data entry and maintenance of all employee demographics and benefits information, with appropriate confidentiality and timeliness.  Counsels employees regarding new hire paperwork and benefits issues. 

    JOB QUALIFICATIONS

    • Associates degree or equivalent in work experience
    • Two years office experience with increasing administrative responsibilities, preferably in Human Resources
    • One year HR experience required, preferably in benefits, payroll, or HRIS
    • Strong knowledge of software applications such as Word and Excel
    • Strong verbal and written communication skills
    • Solid organizational skills with the ability to prioritize
    • Must have ability to work independently and handle a wide variety of public contact with tact and discretion
    • Ability to handle sensitive and/or personal information in a confidential manner

    JOB RELATIONSHIPS (INTERNAL/EXTERNAL)

    Interacts daily with all members of the Human Resources staff.   Has frequent interaction with all Hospital staff and management.   Has daily contact with applicants and visitors.

    JOB DUTIES (* DENOTES “ESSENTIAL FUNCTION”__)

    • Demonstrates the WMH Customer Service Values, which are key in providing quality service to patients and customers. *

    • Coordinates new hire process including health screening, assistance in completing forms, ID processing. Assists candidates and employees in the completion of paperwork such as applications, HR Transaction forms, Education Assistance and Benefits Enrollment. *

    • Coordinates and maintains departmental schedules including applicant interviews, testing, re-scheduling, routine meetings, etc. Administers and records assessment testing for scheduled applicants. *

    • Assembles and distributes HR benefits packets and New Employee Orientation packets.

    • Date stamps all paperwork received in HR. Distributes paperwork to appropriate HR representative.  Distributes mail on a daily basis.*

    • Greets visitors and answers incoming calls.  Directs calls to appropriate contact as needed. *

    •  Completes employee verifications (automobile, mortgage, rental, employment-related, and personal). *

    • Responsible for reviewing pre-certification applications for tuition reimbursement and processing requests for tuition reimbursement consistent with Hospital policy and relevant state and federal regulations. *

    • Reviews, prepares, reconciles monthly invoices, and sets up invoices for payment. Resolves discrepancies with carriers, disbursements, and the Hospital.  Completes reports for management as requested.  

    • Maintains employee files for current and terminated employees.  Files all documents in employee files. *

    • Appropriately responds to and answers any questions regarding benefits, including sick leave, vacation, health, dental, and visions benefit plans, and employee demographic information from Hospital staff and managers.  Takes initiative to resolve complaints or errors. *

    • Processes HR forms for all employee changes.  Reviews forms for accuracy and consistency with Hospital policy, returning incomplete forms to supervisors. *

    • Calculates and processes manual employee adjustments as required.  Notifies insurance providers of new enrollees, coverage changes, and/or terminations for health, dental, vision, STD, cancer, and life insurance employee welfare benefit plans.

    • Prepares and submits the final timecard to payroll in order to pay vacation and holiday accruals in accordance with Hospital policy for terminated employees.

    • Organizes and attends departmental meetings and programs, gathers documentation for meetings, takes minutes, distributes necessary correspondence. *

    • Report, monitor, and verify Workers Compensation injury claims to Travelers.

    • Case Management of all Workers Compensation claims with Travelers.

    • Monitor and capture write-offs of medical cost for Workers Compensation services at Weiss.
