Procurement Specialist

Participates in the selection and implementation of IT supplier sourcing strategies to ensure high quality, on time delivery and cost competitiveness. Responsible for the collection and execution of purchase orders. This includes working with different departments to determine and execute the sourcing approach, procurement requirements, potential vendors, and the supplier selection process. The Procurement Specialist will ensure compliance of vendor engagements in accordance with the company’s procurement policies and procedures.

• Tracks the status of requisitions, contracts, and orders.
• Selects, and recommends suppliers and negotiates price, quality, and service.
• Prepares purchase orders and sends copies to suppliers and to departments originating requests.
• Negotiates and settles with suppliers regarding damage claims, rejections, losses, return of materials, over-shipments, cancellations, and engineering change orders.
• Conduct research and find best products and services that align with IT strategy.
• Works with client stakeholders to undertake & support complex sourcing projects to ensure delivery of category strategies.
• Assist with answering inquiries relating to product & service acquisition
• Understand technical specification of products and services that are procured
• Perform Shipping and Receiving tasks including packaging.
• Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
• Performs physical count of inventory
• Formats and provides weekly and monthly inventory status reports, as appropriate
• Maintain a surplus threshold of equipment readily available for assignment.
• Prepare, maintain, and review purchasing files, reports and price lists.
• Respond to customer and supplier inquiries about order status, changes, or cancellations.
• Establishes and maintains good working relationships with third-party vendors
• Order and distribute office supplies upon request as needed.
• Physically transport equipment, as needed, record keeping and organization of assets within the office
• Monitor’s product pricing to flag supplier price changes.

Qualifications

First class business communication skills - verbal and written

Ability to work with minimal supervision

IT/Software Sourcing Experience

Strong Microsoft Office skills including Teams, Word, Outlook, Excel and PowerPoint

Ability to thrive in a very fast-paced environment, utilizing effective organizational skills to prioritize and manage deadlines for multiple stakeholders

A minimum of 3 years of business experience in asset management, procurement, finance or other related functions.

The job entails sitting as well as working at a computer for extended periods of time. Should be able to communicate by telephone, email, or face to face
