    An international, award-winning architecture firm is seeking an experienced and skilled Executive Assistant to support the Founding Principal. This is a terrific opportunity to work in a creative, dynamic environment.

    Responsibilities:

    Assistance to Founding Principal

    • Maintain professional and personal calendars, including all travel arrangements, reservations and appointments; must be able to anticipate needs of employer;
    • Coordinate all business and personal trips; must have experience creating multiple itineraries for domestic and international travel;
    • Maintain organization of employers’ studio-office; review project files for current status and coordinate all documents;
    • Review incoming correspondence for action items requiring priority attention;
    • Liaison with on-staff IT support to ensure employer’s computers, telephones, and all other communication devices/facilities operate consistently and effectively;
    • Track all charitable donations, reimbursement of expenses, payment disputes, and income accounts;
    • Track Principal’s daily resource allocations, project, and office-related activities;
    • Prepare expense reports and medical reimbursements;
    • Handle personal tasks for Principal as needed.

    Assistance with Operations Activities

    • Coordinate and supervise special events;
    • Coordinate conference and video meetings;
    • Assist with recruiting activities and select HR tasks;
    • Provide select general office-related administrative support;
    • Assume tasks/projects beyond regular responsibilities, when necessary.

    Requirements:

    • 6+ years experience supporting a high level executive;
    • Graduate of a B.S or B.A. program;
    • Highly-developed computer skills (MS Office, Outlook, Excel, PowerPoint);
    • Valid driver's license and good driving record;
    • Effective multi-tasker with proven ability to work in a fast-paced environment;
    • Composed and professional with strong oral and written communication skills;
    • Detail-oriented, with strong organizational and administrative skills;
    • Experience in/exposure to property/building management a plus;
    • Experience in professional services or design field a plus.
