POSITION TITLE: Administrative Program Manager

REPORTS TO: Board of Directors / Owner
POSITION SUMMARY:
This full-time administrative position takes responsibility for supervising ongoing operations of the agency, representing the agency in the community, assuring effective working relationships among the various internal services, collaborating and coordinating with other service providers, awareness to insurance policies and agencies, company marketing, HR duties (i.e., hiring, promotion, demotion, recruitment, training), and employee scheduling and staffing This individual should have an awareness to Quality and best practice standards, and FWA guidelines and ability to put implement practices in the work place.
DESCRIPTION OF ORGANIZATION:
Therapeutic Behavioral Health Services Inc. is an agency that provides both Intensive Behavioral Health Services (IBHS) and Outpatient mental health treatment and counseling.
DUTIES AND GENERAL RESPONSIBILITIES
- Hire and train all staff for IBHS and Outpatient
- Provide or assign ongoing trainings for staff
- Assure appropriate and accurate billing of all LTWS services
- Assure accuracy of paperwork
- Complete and assure accuracy of unemployment compensation paperwork when requested
- Assure HIPAA compliance within the office setting as well as all community mental health workers
- Assure compliance of information contained within the company employee handbook
- Oversee all files and file management
- Compile and present requested information for Department of Human Services (DHS) and the local Managed Care Organization (MCO), and/or other Insurance Companies pertaining to services, treatment, or program
- Attend MCO and county meetings associated with the company and or appropriate level of care
- Represent the agency at outside service provider events
- Assure appropriate marketing
- Assure appropriateness of intakes
- Write or re-write company policies and/or procedures when warranted
- Assure appropriateness and implements administrative decision pertaining to services
- Be available to troubleshoot problems with either IBHS staff or administration, outside of normal working hours
- Assure client authorizations are maintained and monitor client unit utilization
- Conduct employee evaluations and provide staff performance support as needed
- Participate and oversee chart audits for IBHS and OP program
- Duties may be subject to change via the Clinical Director
MINIMUM EDUCATION, CREDENTIALS, AND EXPERIENCE
- Master’s degree in counseling, human services, education, social work, and or other qualified field
- A minimum of 3 years’ experience working in a human services/mental health organization
- A minimum of 3 years supervisory experience and or management postition
- Must have Act 33 clearances: FBI, Child Abuse, and State.
- Must have a valid driver’s license with independent transportation.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of Functional Behavioral Assessments.
- Knowledge of positive behavior interventions and supports.
- Knowledge of mental illness and ID populations
- Ability to collect and analyze data.
- Ability to build healthy relationships (i.e., therapeutic and professional), as well as to function in a team environment.
- Ability to establish and maintain professional boundaries and ethical standards, as well as to maintain confidential and sensitive information.
- Strong ability to read, write, and communicate using the English Language.
- Working knowledge of computers and Microsoft Software products.
- May require prolonged sitting (i.e., sometimes on the floor) or standing and frequent use of the telephone or computer.
- Knowledge of crisis management and de- escalation techniques
- Requires vision and hearing that can be accommodated to within a normal/functional level.
- Strong leadership with the proven ability to communicate with all levels of the organization.
- Demonstrated ability to market the organization and its programs and services with strong public relations skills.
WORK SCHEDULE:
- Hours are 9:00 – 5:00 and or as-needed basis by client, team, and family.
- Schedules may be determined up to six months in advance.
- Must be able to work a flexible schedule to meet the needs of the individual and agency.
