We are looking for a responsible Client Services Administrator to perform a variety of administrative and clerical tasks. The duties of the Client Services Administrator include receiving guests to the M1 corporate office, providing support to our managers and employees, and assisting in daily office needs. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Office Suite and standard office equipment. If you have previous experience as a receptionist, administrative assistant, or client service rep and familiarity with the event industry, and/or have a passion for cars, we’d like to meet you. Ultimately, a successful Client Services Administrator should ensure the efficient and smooth day-to-day operation of our office and serve as a resource for inquiries about the M1 Concourse property.
Responsibilities
Answer and direct phone calls to the appropriate person
Greet and assist clients as they arrive
Plan and coordinate annual CPR/Defibrillator training for staff
Update and maintain office policies and procedures
Order office supplies, research new deals, suppliers, and needed equipment
Maintain garage owner contact list, help transition to new CRM database
Onboard new garage owners (access cards, RFID tags, ButterflyMX app) and offboard previous owners
Point of contact with the property management company for the garage community
Assist Controller with entering payables and mailing checks
Assist in the preparation of regularly scheduled reports - daily call log and shipment deliveries
Liaise with executive admin to handle requests and queries from senior leadership
Help order lunch and coordinate corporate events
Assist with the development and maintenance of employee recognition programs
Assist with M1 signature events, M1 Momentum Magazine mailing projects, and M1 Concourse Car Club membership communications and events
Requirements
Proven experience as a receptionist or administrative assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and scanners
Proficiency in MS Office (MS Excel, Outlook, and MS PowerPoint, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School degree: additional qualification as a receptionist or administrative assistant will be a plus
