    Job Description

    ROLE SUMMARY: The Finance & Project Management Administrator is a key inter-departmental position, who will work as part of a team in support of M3T Corporation, Project Management, Operations and Finance.

    Primary Responsibilities

    • Ensure internal ERP system (APTORA) is up to date with Customer contact information
    • New order set-up including Projects and SSA and Supply Only as well as work orders
    • Inventory management and control for warehouse and vehicle inventories
    • Manage/track all company assets and asset maintenance
    • Sets priorities for self, based on internal and external customer needs
    • Understand the responsibilities of each area where cross trained to support as back up, make recommendations for improvement of processes for department and the departments that are supported
      • Maintain control of inventory, e.g., van, warehouse, tools, and sales of antiquated materials
      • Receiving
      • Purchasing
      • Update process procedures as needed

       

    • Understand the Project Management Cycle to support the Project Management Team and Field Technician Team
    • Answer phones, greet visitors and receive incoming deliveries
    • Performs office tasks including maintaining records and ordering supplies
      • Maintain filing system for clients, vendors, and company vehicles
    • Administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff 
    • Other administrative and financial duties and other tasks as directed

    Secondary Responsibilities

    • Assist as needed with completing invoices and invoice accruals
    • Inventory auditing/management/control for Project and Service warehouses,
    •  Daily in-progress invoice management as well as estimate to actual performance analysis. 
    • Manage WIP turnover to a steady less than 45 days
    • Complete payment applications as applicable per contract
    • Create applicable journal entries for accruals and deferrals 
    • Submit job costing analysis of all projects weekly
    • Monitor all work against the projections of the Dispatch Log
    • Participate in weekly PFR (Project Financial Review) meetings
    • Audit and complete all job closeout packets
    • Monitor cash flow projections and report actual cash flow (monthly/bimonthly)
    • First line communication for AR and AP inquiries
    • General AR duties as assigned 
    • General AP duties as assigned

     

  • Qualifications

    Qualifications

     

    • Knowledge/Capability to manage internal and external customer needs
    • Strong Innovative, Motivational, and Proactive Personality
    • Bachelor's degree in Accounting, Finance or Business Management 
    • 2+ Years of general accounting experience
    • Knowledge or background in Project Management - preferred but not required
    • Work independently & collaborate with a Team
    • Ability to meet and/or exceed deadlines with accuracy
    • Ability to understand and manage customer needs
    • Possess fluent knowledge of office technology platforms MS Office Suite
    • Detail oriented
    • Strong verbal and written communications skills
    • Must be able to prioritize in a fast-paced working environment

    Additional Information
