    Job Description

    Position: Administrative Assistant | Transfer & Service Specialist Company: ERB Employee Retention Benefits Inc.

    If you have an Insurance License and/ or a Human Resources background, it is a plus!!

    Schedule Monday to Friday 8am - 5pm. $18 per hour . Remote work available twice weekly at the most. *Must be enrolled with America's job centers of California.

    GENERAL SUMMARY OF DUTIES AND RESPONSIBILITIES

    The purpose of this position is to ensure smooth day-to-day operations of the practice while providing superior

    customer service to existing clients and prospects. Position requires employee to perform industry specific tasks such as

    application submission and account transfer follow-up, client service work including beneficiary changes/withdrawals,

    index annuity reallocations, incoming client service calls, database management, and client appointment preparation

    including updating client account summaries and gathering the correct product brochures and applications

    JOB DUTIES (Daily)

    Receive incoming client service calls in a friendly, warm manner Record notes from every client conversation in the database Complete and process new business applications Create appropriate client file for each new account Complete and process client service work Submit any additional client contributions to appropriate account Update database to reflect account status regarding account service or new business Email advisor a status at the end of each day

    (Weekly) Follow-up on pending business with the appropriate companies and call each individual client with an update Resolve any issues regarding new accounts, transfers or amendments Prep all new accounts for delivery and schedule delivery meeting with client Follow-up on pending service work and call each individual client with an update Assist advisor with pre-appointment preparation (applications, etc.) Gather account values and complete client review summary for upcoming appointments Call clients with annuity renewals and give advisor’s recommendation Complete, submit and maintain compliance blotters & transactions Present and review YTD production and pending business report during weekly team meeting

    (Monthly) Provide business submitted/issued report to advisor Provide average issue/transfer time report to advisor Review database to ensure client records are up-to-date

    (Quarterly) Assist with client update reports and mailing

    (As needed) Manage RMDs for all qualified client accounts Process Broker/Dealer change paperwork Maintain current licenses and appointments with agencies and companies Research new products and provide summary to advisor

    Knowledge, Skills & Abilities

    Prior experience working Highly organized with strong follow-through Process driven while completing tasks Ability to prioritize day-to-day tasks and issues Resourceful in problem resolution Phenomenal phone skills and ability to build trust with clients Operate with a proactive approach when dealing with advisor and clients Experience working in a fast-paced environment Ability to prioritize projects and manage time Demonstrates persistence to achieve quality

    Minimum Requirements

    Minimum 2 years college or 1 year experience working in an office environment. Working knowledge of computers and software Not adverse to change Ability to learn quickly. Enjoy completing and processing with paperwork. Highly organized
