Position Overview
Oriented Healthcare, LLC is an integrated Primary Care and Behavioral Health Clinic seeking a Full-Time Medical Office Manager to oversee daily clinic operations and support clinical staff in delivering excellent patient care.
The ideal candidate is organized, dependable, and experienced in managing front office operations in a healthcare setting. This role combines administrative leadership, patient services, billing coordination, and basic clinical support to ensure efficient clinic workflow and a positive patient experience.
Key Responsibilities
Office Management & Administration
Coordinate and manage the daily clinic schedule
Oversee office operations and workflow
Maintain office supply inventory and place orders as needed
Handle inbound phone calls and patient inquiries
Coordinate incoming and outgoing office mail
Maintain organized patient files and documentation
Support leadership with administrative reporting and tasks
Maintain clear communication with providers and staff
Assist with staff meetings, training coordination, and workflow improvements
Patient Services & Front Desk
Greet patients and visitors in a professional and welcoming manner
Check patients in and out for appointments
Schedule and confirm patient appointments
Verify insurance eligibility and assist with authorizations
Ensure patient confidentiality and HIPAA compliance
Billing & Insurance
Process patient billing and insurance claims
Manage insurance authorizations and claim submissions
Maintain accurate billing and financial records
Assist patients with billing questions and insurance issues
Clinical Support
Assist providers with patient flow
Prepare patients for examinations when needed
Record vital signs and patient medical histories
Maintain and update patient medical records
Ensure exam rooms and clinic areas are organized
Collect laboratory specimens and perform urinalysis as required
Staff Coordination
Supervise front desk and administrative operations
Assist with onboarding and scheduling of staff
Ensure staff follow clinic policies and procedures
Foster a collaborative and professional work environment
Qualifications
High School Diploma or GED required
2–3 years experience in a medical office or healthcare setting
Prior office management or administrative leadership experience preferred
Medical Assistant certification (CMA, RMA, or CCMA) preferred but not required
Experience with medical billing and insurance claims processing
Knowledge of medical terminology and basic coding preferred
Experience with Modernizing Medicine EHR system preferred
Strong communication and interpersonal skills
Excellent organizational and multitasking abilities

Work Environment
This position works primarily in an office and clinical healthcare environment within the Oriented Healthcare clinic. The role requires daily interaction with patients, providers, and administrative staff to support efficient clinic operations and quality patient care.
