    OrganizationStructure: Reports to: Chief Executive Officer Primary interfaces: COO, DOM, Success Factors: EXECUTIVE SUPPORT – Your role is to support the CEO primarily and the rest of the Executive Office which includes – the CEO, COO and DOM. You understand how impactful and scrutinized everything is that comes out of Headquarters and specifically, from the CEO’s office. You understand the sense of urgency and flawless execution that is needed. In this role you represent Mile High Cure; if you are accurate so is Mile High Cure and so is the CEO. You are thoughtful in helping maintain the positive vibes that are so important to our successful team. Words matter, commitments matter and being positive, welcoming and accessible is how we do it. You initiate and coordinate top-level functions and meetings pertaining to the overall activities of the organization. You assist with the Executive Office in a variety of tasks and communications with the leadership team, clinics, and business partners. • Ensures that the office of the CEO is prepared in advance for every single meeting with key details printed - such as directions, talking points, recap of accountabilities from last meeting, agendas for all meeting requested of the CEO. • Prepares a one-page briefing at the start of each day that includes all meetings and accountabilities or notes from previous meeting, meeting location and directions, who will be there, a bio on the person if new. • Confirms all meetings 24 hours in advance • Prepares agendas for all the CEO’s meetings and distributes prior to start of the meeting. Creates presentations and provides follow up communications, as necessary. • Captures meeting minutes, identifies accountabilities, and distributes to all attendees by the end of the day. • Send out feedback forms within 30 minutes of the end of internal meetings OFFICE MANAGEMENT & OPERATIONS - Oversees smooth day-to-day operations of the Headquarters office. You create procedures and processes to improve efficiencies and oversee the office’s purchasing of supplies, food & events, shipping/postage, etc. • Greet individuals warmly coming into Headquarters and help orient to office/meeting space. This could be a potential employee, a SPEAR team member, or an external business partner – all equally important. • Let CEO know who is meeting at HQ that day (ie which teams are in the conference room) • Timely ordering of HQ office supplies, postage, etc. • Ensures Headquarters office space is well organized and presents well to internal and external partners. • Primary liaison to building management for any facility issues.

    Book travel for CEO and other key members.

    Organize company trade shows. COMMUNICATIONS – In any organization, effective communications are at the heart of making employees feel included and integral to the company’s decision-making and overall mission. Communications from the CEO’s office are of the highest priority, fostering positive relationships within MHC and with our external business partners. You understand the sensitive nature of business dealings and their audiences, and have the resources and talent to compose correspondence, e-mails, newsletters, agendas & presentations for meetings and other key events. You will work closely with Operations, Marketing, HR, Finance, and other functional leaders to draft and distribute communications on behalf of the Executive Office. • Respond to emails within 2 business hours. • Directs the CEO’s attention to urgent matters that he or the Executive Team may not be aware of. • Crafting emails, communications, memos, presentations CORPORATE CULTURE/EMPLOYEE ENGAGEMENT – MHC’s company culture is a priority of the CEO. Success in this arena is not solely determined by the big events the company plans every now and then, but by the smallest things the company does for its employees and the concern it shows for them every day. You are a “SPEAR-it Warrior” – creating an inviting environment where team members feel appreciated and genuinely cared about, planning special events to show appreciation for their hard work, recognizing birthdays, work anniversaries, and life events, etc. • Act as meeting liaison and coordinator for all meetings at Headquarters and off-site as well. (ie. Executive Leadership, Regional Roundtable, Triads, etc.) Prepare and facilitate events Leadership training, companywide meetings, Picnic in the Park, Leadership Off-Site and Holiday Party. • Recognize team members’ work anniversaries, birthdays, life events; monthly & as they occur. • Recommend venue, negotiate rates, organize, and facilitate company events. • Execution – doing what you say you will do within the agreed upon timeframe. • Fun- Enjoy your work, the relationships and making a difference in people's lives.
