    Job title: Receptionist – Administrative Assistant

    Division/Department: Administration

    Reports to: COO

    FSLA Classification: Non-Exempt

    General Summary – The Receptionist/Administrative Assistant (RA) acts as the hub of campus, serving as the first impression for callers and on campus guests, functioning as the main point for deliveries, and supporting staff as needed to ensure a smooth campus operation each day. Additionally, the RA provides direct administrative support to the COO.

    Qualifications:

    ⦁ Minimum of two (2) years’ professional administrative or office management experience.

    ⦁ Proficient in MS Office (Word, Excel, Outlook).

    ⦁ Strong communication skills – verbal and written. Able to communicate internally and externally in a way that represents the organization and COO appropriately.

    ⦁ High degree of integrity and discretion in handling confidential matters.

    Main Responsibilities:

    ⦁ Answer campus phone, field initial questions, and direct calls as needed to appropriate staff.

    ⦁ Greet and assist campus visitors.

    ⦁ Manage and maintain office supplies to meet the needs of multiple departments.

    ⦁ Handle incoming and outgoing mail and packages.

    ⦁ Coordinate campus calendars for meetings, use of meeting spaces, and special events.

    ⦁ Type and distribute the weekly Residential Weekend Plan Packet.

    ⦁ Provide administrative support to the COO to include scheduling appointments, providing follow up to staff meeting items, typing reports, and supporting special needs as assigned of HR, Facility, and Quality areas.
