Job Description We are looking for a motivated, dynamic, flexible and hard working individual to join a fast growing Business Management team. The right candidate will be ready to take on new opportunities, have emerging technical skill but still be willing to take care of the small stuff. WHAT YOU WILL DO IN THE ROLE...(Summary) The GBMS Coordinator / Analyst will assist the corporate Management and Administration team to improve communication & collaboration, for GBMS staff worldwide. The position will liaise with employees, managers, and executives across multiple countries and time zones regularly. The interactions will be in relation to financial, administrative, and potentially confidential matters. The position will be responsible for assisting the department to manage and process projects, deliverables, and support requests that are crucial to the organization. The position will also support the SVP for administrative related duties. The position provide entry level support for the Global Business Management Services ("GBMS") department which includes data analysis, departmental research, reporting, and review/resolution of help tickets as they relate to the GBMS department. The position will also be responsible for process documentation to be distributed to all territories on a global scale. THE DETAILS...(Key Responsibilities) -Proactively identifies project issues/problems and assists with resolutions. -Maintains a solid understanding of the business objective, technology implementation and performance results. -Coordinates with all project team members to monitor ongoing progress and make adjustments when required. -Prepares agendas and presentations, organizes meetings, communicates with project team members for deadlines and updates, and captures meeting minutes. -Produce executive materials, including but not limited to, PowerPoint presentations, executive summaries, executive memos, and e-mails. -May participate in testing activities supporting the business objectives and delivery. -Responsible for maintenance and distribution of project related documentation, for both business and technical users. -Plan and organize conference calls, meetings, conferences, and department activities, including regular training sessions. -Plan travel schedules and coordinate the attendance of stakeholders. -Follow up with executives, managers, and staff across various departments and countries regarding calls, meetings, and deadlines. -Communicate regularly with stakeholders worldwide regarding status, of major milestones, projects, and deliverables. -Compose documentation and workflows to support the education and development of employees WW. -Collect & organize security roles/responsibilities for management systems & maintain documentation as employees are hired/depart. -Collect & organize all reports generated from operations systems, review for sensitive information, provide report to manager, maintain documentation. -Conduct research to fulfill department objectives as needed. -Proofread documents, redline changes and format reports. -Provide administrative calendaring support to the Senior Vice President of the department and perform related work as required. -Research, review and respond to help Tickets from US and Asia users, when required. -Adheres to department standards, policies, procedures and best practices. -Serve as an escalation point for SLX issues. -Communicate plans, status and issues to management on a regular basis. REQUIRED SKILLS AND ABILITIES -High School Diploma or GED. -Experience with Salesforce preferred. -Computer Science degree/training or Technical certifications a plus. -Strong analytical and mathematical skills. -Excellent verbal and written communication skills. -Ability to work independently, as well as, ability to function as a successful and participating team member. -Detail oriented and able to work on multiple tasks at one time. -May be required to provide on-the-job training to new department staff members. -The ability to learn and adapt to new technology and work through a problem logically. -May work under the guidance of more senior level staff or managers and perform other duties as required.
