  • Responsibilities

    Position Summary:

    Performs administrative and clerical work to support a manager or director and their staff. Organizes projects in order to accomplish departmental goals. While establishing and maintaining effective working relationships, serves a primary contact for the department or organization when working with internal and/or external resources to meet departmental objectives. Provides analytical and logistical support and is responsible for the integration and implementation of completed assignments.

    Primary Duties:

    • Develop and implement administrative procedures.
    • Act in a lead capacity to provide guidance to other administrative assistants.
    • Coordinate departmental budget, analyze, and report departmental expenditures and budget variances, maintain databases, and prepare presentations.
    • Produce, edit, and compile information for complex PowerPoint presentations using information from spreadsheets, emails, PDFs, charts, and other sources and support distribution to Members as necessary.
    • Manage all meeting plans including scheduling, communication, agenda creation and all logistics that may include travel for others within the company and externally, meal orders and reservations, and car service.
    • Process and manage vendor invoices.
    • Ensure compliance with company standards, processes, and ethics polices in all tasks.
    • Track completion of monthly activities (timesheets, p-cards, expense reports, etc.).
    • Respond to routine situations and requests.
    • Responsible for compiling information and creating various reports, letters, memos, graphs, charts, tables and presentations, report layout.
    • Ability to independently prioritize messages and tasks.
    • Develop specific goals and plans to organize and accomplish work to meet deadlines.
    • Greets and escorts visitors.
    • Answer and screen telephone calls to route to the appropriate parties.
    • Manage daily calendars for conference calls, conference rooms and appointments.
    • Send and receive faxes.
    • Make and distribute copies.
    • Keep files organized and maintained.
    • Takes and distributes meeting notes as requested.
    • Order and maintain supplies.
    • Open, sort, and distribute incoming correspondence, including faxes and email.
    • Prepare outgoing mail.

    Requirements:

    • High School Diploma/GED And 5 years of directly related experience..
    • Valid State Driver's License

    Preferred Qualifications:

    • Excellent PowerPoint & Excel skills
    • Able to handle and communicate confidential information
    • Experience with SAP is a plus

    Knowledge, Skills, and Abilities:

    • Excellent written and verbal communication skills.
    • Ability to prepare budgets; analyze and report budget variances, input budget and expenditure data in SAP databases.
    • Excellent PowerPoint and Microsoft Office skills.
    • Ability to establish effective internal and external relationships at all levels with members, vendors, and business professionals.
    • Ability to organize projects, budgets, documents, reports, and multiple projects simultaneously.
    • Ability to locate, analyze, and summarize documents, articles, reports, and data source through publications, research series, libraries agencies, and professional organizations.
    • Strong knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
    • Knowledge of business and management principles involved in strategic planning, resource allocation, leadership techniques, production methods, and coordination of people and resources.
    • Excellent problem solving skills.
    • Working knowledge of printers, copiers, fax machines, electronic projection equipment and teleconferencing equipment, including set up, operation and minor troubleshooting.
    • Ability to work well with others and participate in team meetings.
    • Strong attention to detail.
    • Experience answering multiple phone lines.
    • Must be able to handle and communicate confidential information with the utmost discretion.

    Working Conditions:

    • Office environment with extended hours of computer usage and use of office equipment.
    • May be required to work overtime and weekends and holidays.
