    Wilson & Company, Inc., Engineers & Architects is currently seeking a flexible, motivated Project Assistant to assist our railroad team in Kansas City, MO. This position provides project support, including field personnel scheduling, client interfacing, meeting notes and documentation, tracking action items, document processing, filing, and other related tasks; basic office administrative support, including document processing, filing, office related errands, shipping and other related tasks; and special projects as direct by your supervisor.

     

    The successful candidate will have 4+ years of experience supporting leadership team members and employees in a fast-paced office environment. The selected candidate must be a self-starting individual with a track record of handling and maintaining sensitive company personal information. The successful candidate should also be able to prioritize work within a multi-tasking environment.

     

    ESSENTIAL JOB DUTIES:

    • Interface with engineering and client leadership and handle sensitive information with discretion and accuracy.
    • Follow up on action items.
    • Sorts and routes incoming mail; prepares outgoing mail.
    • Maintains office supplies.
    • Maintains filing system (marketing, project, and general information).
    • Project support, including meeting notes and documentation and document processing.
    • Prepares local office expense reports and payroll for processing to Corporate.
    • Prepares local office accounts payable/accounts receivable for processing to Corporate.

    Required Skills

    • Ability to handle multiple projects and flexible to change.
    • Demonstrated proficiency in Outlook and the Microsoft Office suite.
    • Experience in scheduling and meeting coordination, calendar management, travel arrangements, and expense reports.
    • Demonstrated effective verbal and written communication skills.
    • Ability to stay on top of task deadlines and due dates.
    • Ability to respond quickly and effectively to non-routine requests and situations.
    • Highly proficient in organizing data and documents.
    • Flexible and open to new ideas and ways of accomplishing tasks.
    • Willingness to work collaboratively with other administrative personnel.
    • Ability to work both independently and within a team environment.
    • Must demonstrate a high degree of professionalism.
    • Short hand experience a plus.

    Required Experience

    • High School Degree or Equivalent.
    • 4 plus years of administrative experience.
    • Knowledge in Microsoft Power Automation and Power BI highly preferred.
    • Rail administrative experience preferred.
    • Executive level administrative experience preferred.
  • Qualifications
