Full Job Description Management Rental Group is an established Property Management Company seeking a highly motivated Operations/Maintenance Coordinator to join our fast-growing maintenance team. The Coordinator position provides the maintenance team with administrative support and timely coordination of work with vendors, maintenance staff, tenants and others. We are looking for a detail-oriented, organized, proactive team player with a positive attitude that loves real estate! ESSENTIAL DUTIES AND RESPONSIBILITIES- general description, all items on this last are strictly guidelines and may be subject to change or are unlisted - Answer and generate work orders for all incoming maintenance calls in a manner that is timely, accurately and complete. - Together with the Maintenance Supervisor, prioritize, assign and coordinate work for the maintenance team - Communicate with outside vendors regarding maintenance jobs. - Communicate with Director of Property Management and Resident Manager's and Tenant Liason regarding maintenance or issues at properties - Follow up on the status of open jobs. - Approve and/or seek Maintenance Supervisor's approval for maintenance work. - Maintain and update keys for the properties. - Communicate with supervisor regarding maintenance issues and material needs. - Respond and follow up with tenant/vendor/resident manager calls, emails and voice messages in a timely manner. - Calendar inspections and coordinate the closure of ALL outstanding items to ensure compliance in a timely manner - Ensure vacancies are completed and ready for MI in a timely manner - Coordinate with leasing agents for available rentals and status on in progress units prior to MI - Responsible for marketing all vacant units across multiple websites - Responsible for ensuring MO is complete and SDR is accurate before sending to the accounting department - Vendors Invoices/ AP- review, edit and approval - Shop for best pricing - Ordering New Appliances - Home Depot everyday purchase receipt management with AMEX receipts. - Seismic Retrofit Construction- update, progress, completion and cost recovery. - Notices/Complaint letters to tenants QUALIFICATIONS AND SKILL REQUIREMENTS: - Candidate must be a have a sense of urgency, organized, detailed oriented, and capable of working independently as well as in a team environment. - Ability to work with Microsoft Office - Able to read, write and speak English and Spanish (preferred). - Possess the ability to prioritize and manage daily workflow. - Be able to multi-task in a fast paced environment. - Possess a working knowledge of Property management Software - Appfolio software (preferred) - High school graduate or higher preferred - Flexible office locations Salary commensurate with work experience.
