    MSA Security is looking for a highly customer focused Administrative Coordinator in our downtown Manhattan office.   This position will be a highly visible role – greeting guests to the office, handling incoming phone calls, and handling assigned administrative tasks throughout the office.  This position must be able to work during core business hours of 8 am to 5 pm with occasional overtime as needed. The Administrative Coordinator’s primary responsibilities will be greeting guests in the office, answering and directing incoming phone calls, and managing administrative tasks, such as sorting and distributing mail, ordering supplies, setting up meetings, making travel arrangements, and other logistical matters.

    ESSENTIAL DUTIES/RESPONSIBILITIES

    • Greet guests entering the office, determine nature and purpose of visit, and direct/escort them to their specific destinations.
    • Answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
    • Schedule appointments; maintain and update appointment calendars.
    • Perform administrative support tasks as assigned
    • Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
    • Assist Executives, Department Managers and Directors as needed with their administrative needs
    • Provide information about MSA, such as location of departments or offices, employees within the organization, or services provided.
    • Make travel arrangements, file expense reports, order supplies and other tasks as assigned by management.

     

    EDUCATION/QUALIFICATIONS

    • Minimum of three years’ experience working in an administrative, front desk, and/or customer service role in a professional setting
    • Microsoft Office proficiency, specifically with Word and Excel
    • Customer focus with determination to provide the best
    • Communication skills – verbal, written and interpersonal – must be able to communicate clearly and be attentive
    • Detail oriented
    • Organizational and follow-through skills

    PHYSICAL REQUIREMENTS

     

    • This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary
    • Must be able to be on call for after-hour communication as needed
    • Ability to travel as needed
