    Job Description

    We are searching for an adaptable, team player, with a positive attitude and a high level of communication skills (writing, listening and oral), to join our office as a part-time Office Assistant. We will consider equivalence in related administrative experience. For compliance with data protection rules and professional code that guides our industry, it will require a successful candidate to sign a non-disclosure agreement.

    ROLE AIM

    • To oversee office administrative duties and to ensure the efficiency of the workflow.
    • To perform and coordinate administrative support to ensure efficient operations.

    ROLE RESPONSIBILITIES

    1. Provide support to ensure we maintain operations in an effective, up to date and accurate manner.

    2. Provide office support to ensure that we provide Manager with the resources to make effective decisions.

    JOB DUTIES INCLUDE:

    • Maintain positive relationships with stakeholders, welcome and greet clients/office guests.
    • Support with tasks - assist in information gathering for preparation of tenders, motions, policies, procedures as directed and general operational tasks.
    • Assist in preparation of presentation documents and reports.
    • Answer phones directed to you with hastily manner, schedule appointments and reminders for upcoming appointments.
    • Prepare outgoing mail and packages for the executive.
    • Manage information in and out of office - respond to inquiries; take notes, type correspondence, direct to the executive by submitting a summary of communications to Manager.
    • Calendar and time management: Things to do, schedule meetings and reminders.
    • Manage petty cash - order office supplies, monitor and re-stock as needed, and perform general bookkeeping for any expenses.

    WORKING CONDITIONS: Shared the office. There are several deadlines associated with this job role, consequently, the incumbent requires attention and a high level of accuracy.

    NICE TO HAVE REQUIREMENTS AND QUALIFICATIONS:

    • Diploma - CAP certification preferred or similar
    • Driving licence and own car,
    • Self-starter who works independently is a fast, proficient and accurate typist, analytical thinker and ability to solve problems.
    • Have work experience in an administrative role, customer service/relations, retail management, sales, and data gathering.
    • Familiar with common office equipment (printers, copier, fax, etc) with experience in complex electronic file management.

    KNOWLEDGE AND SKILLS:

    • Be able to maintain a high level of confidentiality.
    • Possess skills to exhibit sound judgement in the absence of guidance
    • Be a self-starter able to prioritise effectively.
    • Ability to perform in the job with little direct supervision/guidance
    • Ability to manage multiple tasks at once.
    • Be open-minded and possess interpersonal skills.

    WORK DAYS: 3 MORNINGS PER WEEK

    Mornings: 9:00 am - 1:00 pm with one 15 minute break.  (Months of October to March).

    Full day: 8:30 am - 12:30 pm with one 15 minute break. (Months of April to September).

    The assistant's role will include out of office work as required to visit client premises/carry out assignments within MA (no sales). Therefore, likely to spend an equal amount of most hours out of the office (on request only) and or sitting behind a desk. It will be fair to assume at least hours equal to one morning a week in Office, will be spent out of the office (depending on what is going on).

    CONTRACT DURATION: Month to Month - Renewable monthly for 3 months. Required notice - one month.

    PAY RATE: HOURLY PAID: $15.00 - $20.00 depending on experience

    START DATE: Immediately.
