Overview: Join our team as an Office Administrator at our dynamic law firm specializing in workers' compensation cases. As an integral member of our team, you will play a vital role in ensuring the smooth and efficient operation of our office. Responsibilities:
- Administrative Support:
* Provide administrative support to attorneys and staff, including but not limited to managing schedules, drafting correspondence, and preparing legal documents.
* Maintain and organize physical and electronic files, ensuring accuracy and accessibility.
* Coordinate meetings, appointments, and conference calls, and arrange travel as necessary.
- Client Interaction:
* Serve as the primary point of contact for clients, answering inquiries and providing assistance in a professional and courteous manner.
* Assist with client intake processes, including collecting necessary documentation and information.
* Maintain confidentiality and discretion when handling sensitive client information.
- Office Management:
* Oversee general office operations, including managing supplies, equipment, and facilities maintenance.
* Coordinate with vendors and service providers to ensure the office is well-maintained and equipped.
* Implement and maintain efficient office procedures and systems to optimize productivity.
- Billing and Financial Administration:
* Assist with billing and invoicing processes, including generating invoices, tracking payments, and managing accounts receivable.
* Coordinate with accounting personnel to ensure accurate and timely financial transactions.
* Maintain expense records and assist with budget management as needed.
- Legal Support:
* Assist attorneys with legal research, document preparation, and case management tasks as requested.
* Compile and organize evidence, exhibits, and other materials for use in legal proceedings.
* Coordinate with external parties such as courts, government agencies, and opposing counsel as necessary.
Qualifications:
- Previous experience in office administration, preferably in a legal setting or related field.
- Strong organizational skills with meticulous attention to detail.
- Excellent communication and interpersonal skills, both written and verbal.
- Proficiency in Microsoft Office Suite and other common office software.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Knowledge of workers' compensation laws and procedures is a plus but not required.
- Discretion and professionalism when handling confidential information.
Education:
- High school diploma or equivalent required.
- Additional education or training in office administration, paralegal studies, or related field preferred.
