MaXentric Technologies LLC, a provider of wireless technology solutions, products, and services for commercial and military applications, has an office administrator position open with the potential for growth, targeted for a candidate with BA/BS in a related field. This position is available at our San Diego office (La Jolla, CA). The ideal candidate will be someone who solves problems, takes ownership of their work, and retains a sense of urgency to meet deadlines. We are looking for a candidate with an innovative, energetic personality and a strong team player with excellent communication skills. JOB DESCRIPTION:
From providing the necessary supplies for your coworkers to maintaining a harmonious office space that inspires our productivity, the Office Administrator is there to make it happen. Your expertise lies in your positivity, approachability, and execution abilities in a rapidly changing environment. Day-to-day interactions range from collaborating with managers, engineers, new-hires, and interns. As Office Administrator, you will be the first impression for the entire organization and play a critical role in the MaXentric’s daily operations.
PRIMARY RESPONSIBILITIES:
As a part of MaXentric, your essential duties will include:
Maintain and order necessary office supplies from appropriate vendors
Field general office inquiries, in-person visitors, or email and provide first-response support to employees and customers.
Process and distribute all incoming mail
Liaise with Fed-Ex, UPS, USPS, etc. for all incoming and outgoing packages
Manage internal communications including office updates and newsletters
Ensure cleanliness and overall organization of all areas of the office
Maintain break areas, conference rooms, kitchen, and general common areas.
Verify that facilities standards, security, and aesthetics are maintained by conducting daily quality-assurance walkthroughs, holding third party vendors accountable to their scope of services, and coordinating office repairs/services.
Provide administrative support to member(s) of the Manager team and engineering staff as needed, including placement of orders, travel arrangements, and time and expense reports
Manage and execute the office's standard operating procedures and tracking processes
Champion MaXentric culture by planning and executing in-office and off-site meetings and events.
Communicate and coordinate interviews with potential new hires.
Facilitate smooth onboarding of new employees
Maintain and distribute training material to employees and follow up when training needs recertification.
Perform other related duties as requested or as responsibilities dictate
REQUIRED SKILLS:
BA/BS degree in a relevant field or equivalent practical experience
2-3 years of service and/or admin experience equivalent to office management experience
Articulate, confident, and polished communication style
Friendly, warm personality to match our team’s philosophy
Experience in providing administrative support in a professional work environment
Proficiency with MS Suite (Outlook, Word, Excel, SharePoint, etc.) is a plus
Strong organizational skills, detail-oriented
Demonstrated ability to quickly learn and master new software applications
Proactive and resourceful
Ability to multitask, establish priorities, meet deadlines, and make sound decisions in a fast-paced environment.
