    Position Overview

We are hiring four Mailroom Clerks to work on site in the mailroom at the Dallas VA Medical Center (4500 S. Lancaster Rd., Dallas, TX 75216). The VA North Texas Health Care System is short on mailroom staff, and delayed mail is slowing clinical and administrative work across the medical center. You will restore same-day mail processing and keep accountable mail, parcels, and internal routes on schedule. You will report to our on-contract lead, not to VA staff.

    Key Responsibilities

    • Receive, date stamp, classify, sort, route, and dispatch all incoming and outgoing mail, including express and accountable items, the same day it arrives
    • Operate and adjust postage meters, Pitney Bowes systems, folding/inserting machines, sorting devices, and parcel scales
    • Keep accurate logs for certified, registered, and express mail; confirm delivery and reconcile discrepancies
    • Track parcels in VA-approved tools, update status promptly, and report mismatches
    • Complete scheduled internal delivery rounds across the medical center on time
    • Arrange, file, and retrieve records according to VA records schedules
    • Submit the daily mail volume log, accountable mail report, and any workflow issues before the end of each shift
    • Report suspicious items, lost or delayed mail, equipment malfunctions, and privacy/security concerns immediately
    • Protect mail containing patient health and personal information in line with HIPAA and VA privacy rules
    • Keep the mailroom clean, organized, and safe; complete a daily timecard

      Qualifications & Experience

    • High school diploma or GED
    • U.S. citizenship or legal residency eligible for VA facility access
    • Hands-on experience with postage meters / Pitney Bowes equipment, folding/inserting machines, and sorting equipment
    • Experience keeping accountable mail logs and tracking parcels with electronic tools
    • Filing, records arrangement, and retrieval experience
    • Proficient spoken and written English
    • Able to lift 25–40 lbs and stand and walk for extended periods
    • OSHA-compliant protective footwear (ASTM F2413) required on site
    • Must complete a NACI background investigation, electronic fingerprints, e-QIP forms, and PIV badging, plus VA Privacy/Information Security, HIPAA, and safety training before starting
    • Annual immunizations/screening as required by the facility

Preferred: prior mailroom experience in a hospital, government, or other high-volume secure environment.

      Compensation

      $25 per hour.

Local position — no per diem or travel allowance. Paid holidays and paid sick leave are provided as required for federal service contracts.

      Application Process

To be considered, submit all of the following:

    • Current resume showing mailroom/mail equipment experience with dates
    • Three (3) professional references — name, title, relationship, phone, and email
    • Signed VA Letter of Intent for solicitation 36C25727Q0041 (Mailroom Clerk) — required by the VA for submission; we will send it to you
