    We are seeking a skilled construction administrative assistant for our busy construction company. They will help us communicate with vendors and clients, work with subcontractors to get bids, manage purchase and change orders, and help us with special projects. Previous experience in the industry is helpful, but not required. The successful applicant will have a few years of administrative support experience, excellent computer and time management skills, and be extremely organized. Responsibilities: • Communicate with vendors and subcontractors as a point of contact to solicit new jobs • Complete administrative support tasks for the office manager, project manager, general contractor, and other construction management staff • Perform general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies, and other clerical and administrative tasks for special projects as requested • Prepare forms such as change orders, purchase orders, service agreements, and subcontracts • Answer incoming phone calls and respond to emails in a professional way • Reconcile monthly supply accounts to make sure that all materials have been properly billed out • Close out technician work orders with proper language and billing details for the invoices • Support the Director of Maintenance and his Assistant with any overflow tasks to keep the department running smoothly Qualifications: • Three years of experience of administrative experience is necessary - previous administrative duties in a busy construction office is desired • High school diploma is required - additional college such as an associate’s degree or bachelor’s degree is very valuable • Superb organization and communication skills, as well as great time management, are essential • Proficient in computer skills, especially MS Office (Word, Excel, and Powerpoint) • Knowledge of the construction industry is ideal, but not required Compensation: $20 - $22 hourly
