    What You’ll Do

    Detailed Planning & Prioritization

    Break CEO’s quarterly and annual goals into actionable workstreams and weekly objectives.

    Maintain a rolling 90-day plan, updating it in ClickUp and sharing status every Monday.

    Accounts Payable

    Schedule payments, manage approvals, and reconcile discrepancies.

    Track AP aging and flag any overdue items for immediate resolution.

    Audit Payroll and Approve/Reject for corrections

    Accountability & Follow-Up

    Run the Weekly Ops Meeting in the CEO’s absence: collect updates, surface risks, assign next steps, and confirm owners.

    Track every action item to closure—send reminders, escalate delays, and celebrate on-time completion.

    Conduct regular compliance audits of department activities and documentation to ensure adherence to established policies and procedures; document findings, assign corrective actions with clear owners and deadlines, and verify resolution during follow-up reviews.

    Progress Monitoring & Reporting

    Build and maintain a simple dashboard (e.g., “On-Time %,” “Blocked Items,” “Upcoming Deadlines,” “AP Aging”) that you update daily.

    Deliver a concise weekly brief to the CEO (no more than ten bullets) highlighting wins, delays, critical requests, barriers and a one-page monthly report highlighting wins, risks, and next steps.

    Stakeholder Coordination

    Liaise between Clinical, HR, Finance/Admin leads—ensuring no one works in a silo.

    Organize ad-hoc check-ins for high-priority projects and ensure stakeholder alignment.

    Process Improvement

    Identify automation opportunities, document core processes, and roll out scalable SOPs.

    What We’re Looking For

    Execution Specialist: 5+ years in project or program coordination—ideally in a mission-focused or healthcare setting.

    AP Experience: Comfortable managing end-to-end accounts payable processes in a small-to-medium organization.

    Proven Maestro: Track record of translating vision into on-time, on-budget results—ideally in healthcare or social impact.

    Master Organizer: Expert at running meetings, tracking tasks, and driving closure without direct reports.

    Exceptional Communicator: Clear, concise, action-oriented—whether you’re writing a report or facilitating a meeting.

    Data-Driven Mindset: Comfortable building dashboards, defining KPIs, and using metrics to guide decisions.

    Proactive Problem Solver: You spot blockers early and either resolve them, roll up your sleeves and deliver, or bring the right people together.

    Collaborative Spirit: You galvanize diverse teams, coach leaders, and keep everyone aligned on shared goals—without managing them directly.
