SUMMARY
The Office Administrator is responsible for coordinating office and employee, financial, and program support. The Office Administrator is responsible to ensure accuracy of client billing and electronic records, as well as ongoing referral and census tracking. This includes direct support to the Regional Director and Pathways Revenue Cycle Management and Accounting. Office administrator acts as the liaison with vendors and contractors, and coordinates facilities and supply needs for the agency.
Education, Certifications and License Requirements
Education
Associates Degree preferred
Experience
Minimum of 3 years of office management, business administration, or corresponding work experience.
Certificates, Licenses, Registrations
Valid Driver License with clean driving record
Ability to pass fingerprinting, fraud, and background checks
Demonstrated computer and technological competency
Essential Duties/Responsibilities
HR Support
Oversees job recruitment, manages interview scheduling, reference checks, onboarding
Supports internal employees with benefits allocations, and benefit questions
Processing monthly mileage and miscellaneous invoicing
Maintain employee credential tracker, notify and collect staff documentation
Office and Facilities
Main point of contact for vendors and contractors
Office supplies for central and home offices
General central office facilities management
Responsible for coordinating training spaces and supplies
Financial Support
Compile and Post Monthly Revenue in coordination with Pathways Revenue Cycle Management Team
Complete and submit invoices and billing to payors
Electronic Records data entry including admission and ongoing eligibility oversight
Tracking and maintaining client authorizations
Oversee all Accounts Payable and Accounts Receivable activities
Oversee and reconcile Flex Fund Accounts
Assist in mid-month financial projections
