Job Summary: The Marketing & Advertising Assistant functions as part of the marketing team primarily as a liaison to accounts payable by supporting various financial aspects of the department related to advertising and marketing. They function as the first point of contact for in-bound communication for the marketing team. The assistant also supports various aspects of internal and external marketing. This position will be based in our KanEquip-Solomon location.

Communication/Organization: Ensures good communication with employees, particularly location assistants. Utilizes existing marketing department project management tools including HubSpot and the PARA method of organizing digital information. Timely coding of invoices for accounts payable in Filebound (paperless document management software) utilizing HubSpot software products for inbound marketing, sales, and customer relationship management (CRM). Handles all in-bound requests from digital channels, vendors and internal stakeholders.
Advertising: Responsible for co-op advertising claims and reconciliation of reimbursements. Works with media vendors to obtain proper co-op documentation. Obtains co-op pre-authorization when needed. Communicates with advertising representatives for traditional media buys. Assists in the budget process by providing quarterly reports to budget and working documents for annual budget process.
Direct Marketing: Supports direct marketing efforts with database maintenance in Primus, Kenect, HubSpot and K-Link CRM support functions. Includes mailing list preparation for direct mail initiatives. Provides support in the areas of in-store marketing, social media, and analytics. This includes twice daily checks of social channels, Google reviews, and Gmail accounts. LIVE monitoring of shared marketing inbox, marketing department phone line, websites, and Kenect platform. Customer/vendor replies within the platform utilizing template messages, or email responses prepared and submitted for management approval prior to reply.
Branding Standards: Ensures standards are defined, enforced, and optimized. Includes utilization of pre-built ads needing imprints, logo requests for sponsorships, quick print requests, merchandise ordering and store hour communication tools for seasonal and holiday hour modifications. Also includes internal forms, PowerPoint templates, letterhead and warranty letters.
Public Relations/Events - Supports opportunities to promote the company, both at corporate level and store level including sponsorship request coordination with locations and documentation of sponsorship element fulfillment post event. Ensures marketing event calendar is updated, available, and communicated.
Requirements:
High school diploma or equivalent
Minimum 2 years, well rounded and hands-on experience in marketing preferred or 4 years administrative assistant experience
Must be highly organized, proactive, detail and deadline oriented, with ability to handle multiple priorities at once while providing a high level of service to stakeholders
Strong communication and interpersonal skills with individuals at all levels of the organization
Expertise with computer systems and software, including Microsoft Office Suite especially Excel, Canva, HubSpot, social media management software, social media platforms
Experience in the Adobe Creative Cloud a plus
Ability to follow direction and desire to learn
Ability to work extended hours as needed
Ability to travel to company meetings and training events as needed
