    The Position

    ****Under administrative direction, the Marketing & Public Affairs Administrative Coordinator is responsible for administrative support of the department, scheduling, coordination and support of on-and-off airport aviation-focused events.

    Primary Responsibilities/Essential Duties:

    Department Operations Support (30%) : Provide administrative and processing support to ensure smooth department operations including:

    • P-card processing and reconciliation
    • Invoice submission and tracking
    • Work order coordination
    • Office supplies ordering and inventory management
    • Ordering, tracking and distributing airport promotional items to support the organization and the department

    Scheduling and Coordination (30%) : Serve as the centralized coordinator for a range of recurring airport programs and internal activities, such as:

    • External stakeholder coordination for in-airport needs including escorting vendors, coordinating necessary badging, music/arts performances and other department needs
    • Coordinating meetings with external stakeholders including securing space, organizing catering, providing leave-behinds including agendas, airport-branded gifts, arranging appropriate technology and parking needs so attendees have a positive experience when attending meetings at the airport
    • Support of the Arts at the Airport program, including coordination with curator for gallery installations, maintenance and other post-security activities
    • Trade agreement and contract fulfillment

    Internal and External Event Support (20%) : Coordinate logistics, communication and on-site support for internal and community events, such as:

    • Support for on-and-off airport aviation-focused events
    • Press conferences and other on-airport public events
    • Community sponsorship activation and fulfillment

    Reporting and Information Coordination (10%) : Write, compile and maintain key department reporting functions that support visibility, storytelling, stakeholder communication and the customer experience, including:

    • Speakers bureau tracking
    • Community support tracking
    • News and media coverage monitoring
    • Customer experience reporting

    Knowledge, Abilities and Skills

    • Detail oriented with exceptional organizational skills
    • Ability to juggle multiple projects and calendars and prioritize workload based on deadlines, matter significance, and organizational need
    • Ability to organize, set priorities and exercise sound independent judgment within areas of responsibility to keep processes moving
    • Comfortable supporting events and working with multiple stakeholders in a matrixed environment
    • Ability to communicate clearly and professionally both verbally and in writing
    • Results driven and able to pivot to achieve desired results
    • Strong working knowledge of Microsoft Office applications, including Teams, Planner, PowerPoint, Word and Excel

    Note: While RTAA does have a flexible work arrangement policy, the expectation is that the person selected for this role will work on site. **

    Entry Salary: $27.55 - $31.85 hourly based on experience, with opportunity for annual step-based increases up to a maximum of $36.10. Initial salary placement will be based upon experience and qualifications. This is an hourly position and is eligible for overtime.

    Minimum Qualifications:

    Required Education / Experience:

    • Bachelor's Degree from an accredited college or university in journalism, communications, English, or a closely related field, or equivalent combination of experience and training.
    • Three (3) years of experience in a role requiring strong organizational, administrative or coordination skills in support of a team, department, or program.

    Preferred (but not required) experience or capabilities:

    • Experience in the aviation industry
    • Light graphic design skill (such as Canva)

    Required Licensing and/or Certifications:

    • Must possess a valid Driver's License with authority to drive an RTAA vehicle for the duration of appointment.
    • Ability to obtain and maintain eligibility to hold a Security Identification Display Area (SIDA) badge.

    Physical Requirements:

    Ability to remain in a stationary position for long periods of time, reach, bend, climb, lift, push, and pull items weighing up to 10 pounds or less frequently.

    Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and transport small carry parcels, packages and other items, to traverse short distances, and drive a vehicle to deliver and pick up materials.
