    EF Tours Marketing & Creative Studio is looking for an Operations Coordinator to join our Boston team. In this role, you’ll be at the center of a dynamic team with a focus on systems management, process oversight, and general departmental support related to marketing materials focused on opening the world through education and travel.

    The role:

    As an Operations Coordinator, you will combine your strengths in organization, project coordination, and relationship management into a unique, rewarding hands-on contributor role. You must be able to plan, organize and prioritize your work and the work of others on the team in a fast-paced environment, providing planning and administrative support to the marketing and creative team. You’ll hone your logistical skills by finding cross-departmental efficiencies and you’ll be at the center of connecting the dots. You’ll be a master-juggler of many things like, overseeing the departmental annual calendar and being the lead for a variety of our systems tools. You’ll also have the opportunity to flex into other skillsets when applicable, like marketing and production.

    Responsibilities:

    • Tools

      • Be the admin and expert for our creative project management tool (Wrike) and our document repositories.
      • Develop working knowledge of Marketing tools to drive cross-team collaboration (Adobe Campaign, Hive9, Confluence, Jira, etc.)
    • Admin Support

      • Support senior staff in providing reports, scheduling necessary meetings, overseeing departmental calendar and agendas
      • Understand and manage the budget planning calendar cycle in support of marketing directors
      • Monitor and track marketing activities and performance to provide strategic insights to improve the effectiveness of the team
      • Support and preparation for individual project retrospectives and seasonal review of work
    • Process Management

      • Monitor that teams/individual contributors are adhering to existing processes, while offering optimization recommendations for the Marketing & Creative department, consisting of the following teams: marketing strategy, email & automation, web, production, and creative.
      • Coordinator and point-of-contact for all Spanish translations
      • Guide capacity planning-manage time-tracking cross-departmentally, make recommendations on intake volume, advise on headcount

    Who you are:

    • Bachelor’s degree
    • Experience-2-4 years of experience in Marketing Operations or a similar role
    • Experience working with Wrike (or similar project management tool)
    • Some experience with reporting and analytics
    • Proficiency in MS Office
    • In the Boston office Tuesday, Wednesday, Thursday - ability to work remote Monday & Friday
    • Communicative-you know who needs to know what and when and never leave anyone in the dark
    • Collaborative-you work and play well with others
    • Detailed - you might as well have microscopes for eyes because no small detail goes unnoticed
    • Driven-you’re confident, goal-oriented, results-driven and take initiative
    • Solution-oriented-you’re a whiz at learning new things and finding the most efficient solution to problems
    • Adaptable-you shift gears quickly and manage time well
