Schedule: Monday - Friday (40 hours per week).
Summary:
Reporting into the VP of HR the Sr. EA will be performing complex administrative and project management responsibilities. The Sr. EA will primarily support the President/CEO and Creative Director in addition to program management. To perform this job successfully, the individual is expected to handle highly sensitive and confidential company information while exercising professionalism and discretion. Additional responsibilities include the management of complex meeting schedules, arranging travel and preparing itineraries, processing expenses, compiling reports, building presentations, meeting minutes, preparing agendas and responding to routine and non-routine correspondences professionally.
Main Duties & Responsibilities:
Perform pro-actively and independently the full range of executive administrative tasks which involves a very high level of responsibility and are of a confidential nature (calendar management, meetings, plan video/conferences, travel arrangements, expense report etc.), aligning activities and processes with the demands of the executives or departments.
Coordination and documentation including WOM (weekly operating meeting), Monthly Leadership Meetings, quarterly Performance and Strategy Update, semi-annual All Company Meetings and other non recurring meetings.
Prepare high quality, state of the art presentations that often will include animation, video and narration.
Navigate detailed travel plans, itineraries, and documents for travel-related meetings (both domestic and international) and process related expense reports.
Organize, coordinate and host meetings and events including pre-meeting setup, communicating agenda, note taking, tracking and follow up on identified action items.
Serve as a point of contact for team members and internal departments; respond to basic HR and administrative questions and inquiries, both written and verbal.
Provide administrative support for company social, philanthropic and political activities
Support of key company Philanthropic Relationships
Manage CEO/Creative Director order requests
Manage CEO/Creative Director expense reports
Manage office and cafe supplies for all company locations.
Handle errands as needed.
Implement and execute office space standards (ie, desks, workspaces, conference rooms, common areas, etc.)
Support HR and employee experience programs in planning, coordinating, and facilitating in-office events
Qualification Requirements:
Bachelor's degree and have acquired 5+ years of experience in an executive assistant role in a dynamic environment – experience in HR is a plus.
Strong oral and written communications to create emails and announcements, Powerpoint/Keynote/Google Slides Expertise to support major presentations as well as working closely with employees and leadership.
Knowledge of administrative procedures and must be a digital native with strong Microsoft Office and Google Office Suite Skills, expense management tools and ability to easily learn new software platforms.
Pro-active problem preventer who takes initiative and makes independent decisions.
Motivated, detail-oriented, with meticulous organizational skills. Knows how to set priorities under pressure and manage time and workload.
Ability to exercise discretion and apply good judgment in making decisions, work independently and as part of a team.
