MattLaw® is a team of Tampa area injury lawyers led by Matt Powell, who has protected thousands of victims and their families for over 35 years.
MattLaw® protects the most vulnerable of our society, people who can't protect themselves, children, and the elderly. Mothers can't control what the doctors, nurses, and hospitals are doing during the birth of their child, they place their trust in these professionals, and occasionally they are betrayed resulting in a child born with cerebral palsy. Children are unknowing victims of dangerous products, predatory coaches, religious leaders, or unsafe playgrounds. Our elderly are unable to protect themselves in nursing homes that are understaffed or potentially unsafe. We are active in helping to keep kids safe by sponsoring local charity events throughout the Tampa Bay area where we give children free bicycle helmets and other bicycle riding safety equipment.
ABOUT THE POSITION
SUMMARY: The MattLaw® Litigation Scheduler is a key team player whose focus and responsibility is the handling of multiple calendars for the lawyers. This requires coordination and cooperation with Opposing counsel, courts, medical providers, and witnesses for the scheduling of hearings, depositions, mediations, arbitrations, compulsory medical exams, court reporters, videographers, expert witnesses, healthcare professionals, as well as trials themselves. This position requires excellent organizational skills, clear communication skills, comfort with email and online scheduling software, and strong attention to detail and follow through.
Because MattLaw® prides itself with skills in the courtroom, there’s the constant pressure of deadlines and the pressure of the crucible of trial. There are many frustrations and barriers that tend to slow down the cooperation and coordination of hearings, and often times we may have to request the court to intervene with the scheduling as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Schedule and coordinate the following:
Meetings, whether in person/at office, or via telephone or Zoom
Hearings, including scheduling court reporters when needed Depositions, whether in person or via Zoom, and scheduling a videographer, court reporter, and witness Mediations / Arbitrations Trials Compulsory Medical Examinations
Prepare notices for hearings, depositions, mediations, and arbitrations
Obtain Zoom and court information for the notices
Prepare calendar entry and attach the notice, motions, and login information
Send deposition notice to court reporters and videographers
Request Compulsory Medical Examination videographers
Confirm events with all parties the day before any event
Monitor calendar for cancellations and update all concerned participants of cancellations or changes
Update the Master Trial List
EXPERIENCE AND SKILLS REQUIRED:
Associates degree in paralegal studies or equivalent experience
Professional in punctuality and appearance
Excellent organizational skills and strong attention to detail
Efficient and able to complete projects within deadlines
Strong analytical and problem-solving skills
Exceptional communication and interpersonal skills
Positive attitude, cooperative and respectful of colleagues, and team player
Ability to work well under pressure and manage multiple projects simultaneously
Proficient in Excel, Google Docs, Google Sheets, Slack
