    Job Description

    THE OPPORTUNITY: 

    The Senior Coordinator will provide strong overall support for the global Location Based Entertainment team, assisting with operations, creative, and marketing initiatives. The Coordinator will be a pivotal member of this close-knit team, helping them function more efficiently by overseeing legal, financial, calendar, and brand status updates, and ensuring follow through on team priorities.

    WHAT YOUR IMPACT WILL BE: 

    • Handle financial coordination and royalty/payment tracking. This includes new vendor set up, completion of service agreements, submitting invoices, archive/tracking payments, collecting and distributing royalty reports, monitoring contractual requirements in Excel, and follow up on all payment deadlines. Also includes management of budget.
    • Organize and maintain contracts, including updating status spreadsheet for legal team, sending out weekly alerts/updates, keeping contracts on tight turnaround and track key information for easy reference by team members.
    • Manage event calendar and internal and external event distribution. This includes combining many individual event calendars into one primary calendar, updating the calendar with key dates as necessary and distributing booked event newsletters to internal and external contacts.
    • Update and maintain Project Tracking Sheet and Portfolio; identify project roadblocks, alert team members of due dates and pending deliverables, pro-actively follow up as needed to ensure tasks are completed.
    • Track and provide a basic analysis of operations and marketing execution including collating event recaps, outlining in Excel, and preparing recap for Senior Management.

    • Strong organizational skills

    • Experience supporting a team in a fast-paced environment.

    • Proficiency with Microsoft Office (Outlook, Word, Powerpoint, Excel) and ability to conduct internet research.

    • Highly organized with excellent follow-through and good sense of urgency.

    • Team player who can also work independently.
