Job Description
The Revenue Cycle Specialist reports directly to the CFO and is responsible for fulfilling a critical role in ensuring that reimbursement is received for services provided to customers, by being responsible and accountable for efficient billing and collections operation and effective accounts receivable management.
JOB FUNCTIONS AND RESPONSIBILITIES
Essential Functions
- Support the business, technical, and operational needs of the accounting department in executing the Revenue Cycle. Provides a balanced approach to decisions that consider organization needs, human issues, and technology factors while working alongside Sales Team partners and CSRs.
- Work collaboratively with the CFO to oversee the revenue process and workflow.
- Work directly with Sales Team Partners to manage customer accounts, collect accounts receivable, and address past due accounts accurately and efficiently. Communicate and meet (as needed) with assigned Sales Team partners.
- Ensure that billing processes align with coverage, reimbursement, and billing requirements for each customer.
- Generate billing for assigned Sales Team partners, working with Sales Team partners to prepare invoices accurately and in a timely manner. Send invoices to customers.
- Accurately record and apply receipts from clients in a timely manner.
- Within Pace, create new customer IDs, process invoices, and upon detection of job errors within the billing system, communicate to the CSR team to fix the error(s)in the billing system.
- Using Syncore, generate invoices for Promotional Products. Similarly, generate invoices for Promotional Products from the Invoice email queue that contains billing requests from Promotional Products CSRs.
- Upon receiving Ecomm Storefronts Reconciliations, create either an Accounts Payable transaction to resolve money owed by the company or create an invoice to send to customers.
- Issue credits to customer credit cards.
- Document current procedures and policies and update as changes are made.
- Develop, make decisions, and manage appropriate processes and structures to govern the organization’s revenue cycle operations.
- Actively participates in all Revenue Cycle related special projects as well as daily, monthly, and yearly reporting.
- Assists with the onboarding and training of new department hires.
- Maintain confidentiality of customers and organizational financial and operational data.
- Serves as a role model in service excellence, customer service, and public relations.

- Demonstrated success in achieving improved performance in reimbursement in a manufacturing setting.
- Proficient in ERP software (Pace), Promotional Products software (Syncore), and other organizational software involved in the billing process. If not currently proficient, comfortable with technology and ability to quickly become proficient in organizational software used to input, track, and bill orders.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and work in a fast-paced environment.
- Ability to remain calm and courteous under pressure and to navigate challenging situations.
- Ability to be trusted with sensitive, protected, and highly confidential information.
EDUCATION AND EXPERIENCE
- Education: Bachelor’s degree in accounting, business, finance, or a related field. Sufficient work /industry experience may substitute for a Bachelor’s degree.
- Experience: o + 5 years experience in billing with exposure to working with integrated billing systems, collections, and follow-up. Must possess a comprehensive knowledge of revenue cycle functions and systems.
