    Position Description: Law Office Coordinator

    Role Overview:

    The Law Office Coordinator is a key position responsible for supporting individual lawyers and managing the remote office operations. This role demands a versatile skill set to handle a wide range of responsibilities, including legal assistance, file management, office management, and administrative tasks.

    Key Responsibilities:

    1. Legal Assistance:

    • Compile and manage legal documents.
    • Coordinate with Sheriff's Departments/service processors for timely services.
    • Calendar due dates and manage scheduling for client meetings and attorney appointments.
    • Assist in trial preparation, including preparing trial notebooks and exhibits.
    • Draft, file, and issue trial subpoenas as needed.
    • Correspond with courts and manage legal correspondences.
    • Proof and prepare legal pleadings, letters, and documents.
    • Handle discovery processes, including drafting responses and assembling documents.
    • Prepare files for meetings, hearings, and trials.
    • Assist with child support calculations and court filings.
    • Maintain and organize both physical and digital files.

    2. Administrative and Reception Duties:

    • Manage attorney's billable time records.
    • Assist with reception duties, including answering phones, greeting clients, and managing messages.
    • Oversee continuing legal education (CLE/CME) maintenance and reporting for attorneys.
    • Handle membership maintenance and reporting.

    3. Office Management:

    • Manage the daily operations of information systems and office equipment.
    • Coordinate technological support and maintenance of office facilities.
    • Supervise office staff, including training new receptionists and conducting regular meetings.
    • Collaborate with the firm administrator on key performance indicators (KPIs) and goal setting.
    • Foster a feedback culture and address concerns or issues within the team.
    • Organize and execute office functions and events.
    • Onboard new team members and prepare necessary accounts and workspaces.
    • Manage office expenditures and handle equipment requests.

    Case and Client Management:

    • Monitor case statuses and run weekly reports.
    • Keep attorneys updated on case progress and upcoming deadlines.
    • Assist in preparing attorneys for meetings and manage their calendars.
    • Ensure timely preparation for appointments and notify attorneys of schedule changes.
    • Assist with billing edits and clarifications in collaboration with the Firm Administrator.

    Miscellaneous Tasks:

    • Work with marketing department as needed.
    • Assist in expense reporting and reimbursement processes.
    • Nurture a culture of feedback and continuous improvement.

    Qualifications and Skills:

    • Experience in legal office management or a similar role.
    • Proficiency in general office applications.
    • Strong organizational and time-management skills.
    • Excellent written and verbal communication abilities.
    • Ability to multitask and manage diverse responsibilities.
    • Supervisory and training experience is desirable.
    • Knowledge of legal procedures and documentation preferred but not required.

    This position offers a dynamic and challenging opportunity to contribute to the efficient functioning of the legal office and support the legal team in a variety of critical tasks. The ideal candidate will be a proactive, organized individual with a strong understanding of legal processes and office management.

    This role will require commuting to Omaha for the first 60 days 3-4 times a week.
