Job Summary
Ultimate Health is seeking a warm, polished, and detail-oriented Medical Receptionist / Patient Care Coordinator to serve as the first point of contact for our patients and guests. In this vital role, you will set the tone for the entire client experience—from the first phone call to the follow-up after their visit. Responsibilities
Answer phone calls, manage voicemail, and respond to online inquiries in a timely and friendly manner
Schedule appointments, manage calendars, and confirm bookings using electronic medical records (EMR) and booking systems
Collect payments, post charges, and reconcile daily financials with accuracy
Maintain a clean, calming, and upscale front desk and lobby environment
Ensure all intake forms, consents, and paperwork are completed accurately prior to service
Serve as a liaison between patients and providers to ensure seamless communication and service delivery
Educate patients on membership services, cash-based offerings, spa packages, and financing options
Coordinate follow-ups, satisfaction check-ins, and feedback requests
Provide light administrative support to clinical staff and management as needed
Qualifications

Discretion & confidentiality—you are trusted with sensitive information and uphold the highest level of patient privacy
Strong communication—you are articulate in person, over the phone, and in written correspondence
Appearance and demeanor—you maintain a polished, elevated look suitable for a luxury healthcare and wellness environment
Tech-savvy—comfortable using EMR, booking software, Google Workspace, and payment platforms
Self-starter—you anticipate needs, take initiative, and solve problems independently
Prior experience in a cash-based, concierge, med spa, or boutique practice is strongly preferred
Bilingual (English/Spanish) is a plus but not required
Education & Experience: High school diploma or equivalent required
Minimum 2 years experience in a medical front desk, patient coordination, or spa concierge role
CPR certification preferred
