Job Description
We are seeking an Office Administrator to join our team! You will perform clerical and administrative functions in order to drive company success.
RESPONSIBILITIES:
- Draft correspondences and other formal documents
- Plan and schedule appointments and events
- Greet and assist onsite guests, when applicable
- Answer, facilitate, and redirect inbound telephone calls, emails, and other client correspondence
- Assist in the coordination of scheduling staff and contractors for various work assignments
- Develop, implement, maintain, and improve digital and paper-based filing systems
- Place orders for office supplies, tools, and other materials, when necessary
- Coordinate delivery and receipt of freight shipments and vendor deliveries
- Correspond with manufacturers, vendors, and clientele regarding existing orders, ETA's, etc.
- Maintain current vendor pricing in proposal software by regularly receiving, filing, and correctly uploading/importing manufacturer price sheets
- Assist in maintaining the relatively small office; cleaning of the facility, restroom, and ensuring plants are watered, carpets vacuumed, etc.
- Basic assistance in organizing mailing lists, website upkeep, coordinating content delivery to our Marketing specialist/social media manager
- Assistant to the general manager and CEO; coordinate daily schedule, lists of daily executable tasks, prioritization of projects and correspondence, etc.
- Send proposals and invoices to clientele, when needed.
- Perform all other office tasks
QUALIFICATIONS:
- Previous experience in office administration or other related fields.
- Previous experience in audio/visual, low-voltage or electrical, event production, or other related industries is beneficial but not required.
- Ability to prioritize, multitask, be self-reliant, stay focused, and maintain productivity
- Ability to effectively receive verbal and written direction and accurately implement and execute tasks
- Excellent written and verbal communication skills. Must be able to write and correspond professionally with clients and vendors in a clear and effective manner.
- Strong attention to detail -- This is crucial, and expected at the highest level at all times.
- Strong organizational skills
- Punctuality and responsibility are must-haves for this position.
- Dedication to meeting deadlines, willing to work paid overtime, when required.
- Existing knowledge of and skills in navigating Microsoft Office Suite, particularly Word, Excel, and their equivalents in the Google G-Suite catalog.
- Existing working experience in related proposal software, such as Proposify, SI D-Tools, SimPro, etc. is a major plus
- Must be able to work with numbers, perform basic mathematic calculations and equations
- Experience with accounting software, particularly Quickbooks Online, is essential
- Open and willing to learn and adapt existing skillsets to new software, when necessary and as growth of the company continues
- Strong people skills and the ability to communicate clearly with other employees, supervisor, and outside entities, such as clientele and vendors.
- Open and willing to facilitate the growth and expansion of the company, as well as their own position through expanding into sales, target vertical market variation and diversification

- Able to lift 30 pounds without strain
- Willing to work happily with people of various religious backgrounds and beliefs -- a large portion of our clientele consists of houses of worship, so this is non-negotiable.
- Must be fully vaccinated, willing to receive booster shots, as necessary and recommended by the US Federal Government, State of Colorado, and/or the CDC.
