    DoveLewis Veterinary Emergency and Specialty Hospital is hiring a Medical Administrative Assistant to join our hospital admin team. The Medical Administrative Assistant is responsible for providing administrative and clerical support to hospital staff. This position performs a wide variety of tasks related to the smooth operations of the hospital.

    Job duties will include, but are not limited to:

    • Provide administrative support to the Chief of Staff and additional DVM Leadership, including calendar management, coordinating meetings, meeting minutes, presentation drafts, and other relevant administrative tasks.

    • Track and code expenses for the department and leader(s) supported, ensuring timely submission and proper documentation

    • Maintain and update internal Wiki and SharePoint pages to ensure clear communication and easy access to resources.

    • Process and distribute daily mail, including scanning payments, invoices, and important documents.

    • Perform miscellaneous duties as assigned.

    • Be the go-to person for administrative requests across the hospital.

    • Support the leader(s) you assist in coordinating staff appreciation and recognition efforts with thoughtful and timely execution.

    • Support and participate in the Safety Committee by coordinating meetings, assisting with projects, updating protocols, and helping to ensure regulations are maintained.

    • Assist with conference room cleanup and straightening to ensure professional and organized meeting spaces.

    • Run reports and audits for leader(s) supported

    Qualifications

    • Highly organized and detail oriented.

    • Comfortable juggling multiple tasks in a fast-paced environment.

    • Strong written and verbal communicator.

    • Tech-savvy—experience with ezyVet or other practice management software is a plus.

    • Passionate about helping animals and supporting a lifesaving team.

    Education and Experience

    • High school diploma or equivalent.

    • One or more years of experience providing administrative and/or customer service support in a professional environment.

    • Minimum of one year experience in a veterinary facility and familiarity with veterinary terminology, medications, and procedures preferred.

    • Experience using practice management software (ezyVet preferred).
