Summary/Objectives of Position
The Medical Assistant is part of a multi-disciplinary team working together to establish and carry out a case plan for each client and performs routine administrative and clinical tasks to keep the health clinic running smoothly. This role is responsible for back office and front office duties. The MA maintains a clean, organized, and safe environment, and performs patient care services that support the physician/ provider's practice under the clinical supervision of the Physician and Nurse Practitioner. The MA is the first point of customer contact and is responsible for coordinating all patient requests for referrals and authorizations. The Medical Assistant will function within the scope of practice as described by the State of California Board.
The Medical Assistant Back Office duties include providing a friendly, compassionate, and efficient environment for patients and providers to ensure the highest level of productivity. The Medical Assistant will perform a variety of duties related to patients’ assessment, treatment, reevaluation, and discharge. This position will take patient vitals, chart procedures and provider orders and assist in managing patient flow. This position may require night and weekend shifts as needed.
This position may have access to third party credit card information and transactional systems (cash registers, point of sale devices, applications supporting credit card transactions, and reports or other documents containing credit card information) from single transactions or a single card at a time.
Essential Duties, Functions & Responsibilities
- Meet with patients to take history, measure vital signs (i.e., pulse rate, temperature, blood pressure, weight, and height), and records information in patients' charts.
- Assisting in prepping patients for examinations or procedures, assisting with procedures, relaying instructions from the physician to a patient or authorized person, and collecting patient data.
- Documenting patient concerns, patient messages, and care provided to the patient in the patient’s medical record for the physician's review.

- Support the provider by administering medications specifically directed by the physician and performing accurate vital sign measurements and documentation.
- Perform non-invasive, routine, technical support services under the specific authorization and supervision of a licensed physician, physician assistant or nurse practitioner.
- Support the team by ensuring that the physicians or nurses have the needed supplies, instruments, and equipment available.
- Ensure the health and safety of the patient and staff by sterilizing and cleaning equipment and safeguarding that the exam room is ready for the next patient.
- Ensure the efficiency of the appointments by preparing and setting up treatment rooms for appointments.
- Ensure the health and safety of the patient by maintaining the treatment rooms so that they are clean and sterilized after each visit.
- Support the physicians and other providers in providing treatment within the scope for an MA.
- Support the efficient care of patients by assisting in the appointment scheduling and noting the arrival of patients.
- Ensure compliance and quality care by appropriately recording and filing patient information in the electronic medical record system.
- Support the team by answering phone calls, ordering supplies, sending out correspondence, completing insurance forms, and assisting with patient check-ins.
- Responsible for the efficient flow of patients by communicating with providers regarding activities, pending issues and potential problems.
- Responsible for the performance of administrative duties of the front office.
- Ensure the smooth flow of patients by welcoming and escorting patients to examination rooms.
- Support the medical team by drawing and collecting blood samples from patients and preparing specimens for laboratory analysis.
- Responsible for the health and safety of the patient by applying principles of aseptic technique and infection control as directed by Infection Control Policies.
Minimum Mandatory Qualifications:
Education:
- Requires High School diploma/GED.
- Graduate from an accredited Medical Assistant Program.
Experience:
- 1 year working in a medical office setting.
- 6 months' experience as a Medical Assistant preferred.
- Knowledge pertaining to AAAHC or CARF standards for accreditation and patient care preferred.
- Knowledge of medical billing and charge entry procedures, medical terminology and basic lab test procedures preferred.
- Knowledge of Electronic Health Record preferred.
License/Certification:
- Valid CA driver's license.
- First Aid/CPR certification preferred.
- Current BLS certification.
- Certified Medical Assistant certificate preferred.
Skills:
- Must demonstrate the ability to maintain accurate records and prepare clear and accurate reports for informational, auditing, and operational use, including capacities for attention to detail and for reviewing and verifying data accuracy.
- Possess the ability to perform well in group problem-solving situations and use reason even when dealing with highly emotional topics.
- Maintain strict confidentiality of client and personal information, adhering to HIPAA, professional codes of conduct, State of CA regulations, and BAIHP policies and procedures.

- Familiar with electronic healthcare records systems.
- Proficiency with using computer-based applications (e.g. Microsoft Office) and clinical information management systems.
