    Job Title: Medical Assistant

    Position Summary: The Medical Assistant / Receptionist provides essential administrative and clinical support to ensure smooth daily operations of the medical office. This dual role requires professionalism, attention to detail, and excellent patient service skills.

    Key Responsibilities:

    Front Desk / Administrative Duties

    ● Greet, check in, and check out patients in a welcoming and professional manner.

    ● Schedule, confirm, and coordinate patient appointments and follow-ups.

    ● Answer and route phone calls; respond to patient inquiries promptly and accurately.

    ● Verify insurance eligibility, obtain authorizations/referrals when required, and collect co-payments or balances.

    ● Prepare and maintain patient charts; ensure accurate data entry in the electronic health record (EHR) system.

    ● Handle medical correspondence, including scanning, faxing, and filing documents.

    ● Assist with billing inquiries and coordinate with the billing department as needed.

    ● Maintain front desk supplies and forms; ensure reception area is clean and organized.

    ● Manage patient flow by coordinating between front office and clinical staff.

    ● Assist with new patient registration and updating demographic and insurance information.

    ● Protect patient confidentiality and follow HIPAA regulations at all times.

    Clinical Duties

    ● Escort patients to exam rooms and prepare them for their visit.

    ● Obtain and record vital signs, patient histories, and chief complaints accurately.

    ● Assist providers with physical exams, procedures, and minor treatments.

    ● Prepare and administer medications and injections under provider supervision (if certified).

    ● Perform EKGs, vision screenings, ear irrigations, and other routine clinical tests as directed.

    ● Collect and label laboratory specimens; prepare them for transport or processing.

    ● Sterilize instruments and maintain exam room cleanliness between patient visits.

    ● Monitor and restock clinical supplies and ensure equipment is functioning properly.

    ● Provide patient education on medications, procedures, and follow-up care as instructed by providers.

    ● Handle prescription refill requests per office protocol.

    ● Assist with patient referrals and coordination of specialty care.

    ● Document all patient interactions and treatments accurately in the EHR.

    ● Follow infection control, OSHA, and safety protocols consistently.

    Other Duties as Assigned

    ● Support physicians and staff with special projects or administrative tasks.

    ● Participate in staff meetings and training sessions to stay updated on procedures and compliance requirements.

    ● Contribute to maintaining a positive, team-oriented work environment.

    ● Employees may be required to travel to and work at any of the Company’s locations as directed by management.

    ● Perform any other administrative or clinical tasks that may reasonably be required in the course of employment, provided such duties fall within the scope of training, certification, and applicable laws and regulations governing medical assistants and front office personnel.

    Qualifications:

    ● High school diploma or equivalent required; Medical Assistant diploma/certification strongly preferred.

    ● Previous experience in a medical office setting highly desirable.

    ● Knowledge of medical terminology, clinical procedures, and EHR systems.

    ● Strong organizational, multitasking, and communication skills.

    ● Professional, compassionate, and patient-centered attitude.
