Job Title: Referral Coordinator
Location: Clinic in Sacramento, CA. Remote or onsite Classification: Part time or Full time Reports To: Clinic Manager or Director of Clinical Services Salary Range: Approximately $20.00 – $31.50 per hour (dependent on location and experience)
Position Summary
The Referral Coordinator is a vital link between patients, primary care providers, and specialists. You will manage the end-to-end referral process, ensuring that patients receive necessary specialized care or diagnostic testing while maintaining clear communication across all parties. This role requires a high degree of administrative precision and a strong commitment to patient advocacy.
Essential Duties & Responsibilities
Referral Processing: Manage and process referral requests daily, ensuring accuracy of medical codes (ICD-10, CPT) and supporting documentation.
Insurance Coordination: Verify patient eligibility and obtain necessary pre-authorizations or pre-certifications from insurance providers like, Hills, Medi-Cal, Covered California, or private payers.
Patient Navigation: Act as the primary point of contact for patients, explaining the referral process, assisting with appointment scheduling, and addressing barriers like language or transportation.
Closing the Loop: Track the status of all referrals to ensure patients attend appointments. Proactively obtain consult notes and specialist reports to update the patient’s primary care record.
Communication & Liaison: Serve as a resource for clinic staff and external medical groups. Participate in daily huddles with providers to review care plans.
Records Management: Meticulously document all referral progress in the Electronic Health Record (EHR) system (e.g., Epic or eClinicalWorks).
Minimum Qualifications
Experience: 1–3 years of experience in a medical office or clinical setting, specifically with referral management.
Skills:
Proficiency with EHR systems (Epic and Cerner are highly valued).
Strong knowledge of medical terminology and insurance verification tools.
Certifications: Medical Assistant (MA) certification or Certified Referral Coordinator (CRC) is a plus.
Physical & Work Environment
Predominantly time spent on computers and phones.
Must be able to sit or stand for prolonged periods .
Fast-paced environment requiring the ability to prioritize urgent medical needs.
