Join our team as a Medical/Chiropractic Front Office Coordinator. This position provides secretarial, administrative, and clinical support.
This is a fast-paced and well-organized environment. Attention to detail and accuracy is critical.
You must be a fast learner, able to handle multiple tasks simultaneously, and be computer literate. You will be cross-trained in all areas of the office and will be expected to rotate to all areas based on the needs of the clinic.
This is one of the most important positions in our office because of the patient/client/vendor interaction. Also, this position works very closely with the insurance/billing department and clinical staff.
JOB DUTIES INCLUDE AND ARE NOT LIMITED TO:
- Welcome patients as they contact the clinic in-person or by telephone
- Check patients in and out of the office
- Answer all incoming calls and address questions or route to the appropriate staff
- Schedule appointments for existing and new patients; direct walk-in and emergency patients
- Verify patient insurance coverage; explain benefits to patients
- Follow up with patients on missed appointments and reschedule as necessary
- Register patients in the EMR/EHR system; enter demographics, etc. into system
- Supply and assist with patient intake forms; ensure patient paperwork is complete
- Scan/copy patient ID/insurance card(s) into system
- Scan any patient-related documents into the patient chart in appropriate location
- Verify that all services provided are accurately posted to ledger and collected at the time of service
- Collect patient copays/deductibles at the time of service; inform patient of and collect outstanding balance; discuss and explain patient balance
- Coordinate referrals
- Facilitate medical records requests
- Manage clinic supply inventory placing orders with various vendors as needed
- Maintain cleanliness and follow infection control practices for patient lobby, common areas, work desk(s), etc.

- Understanding of medical terminology and abbreviations
- Knowledge of key medical reports such as pathology or imaging reports and general health checks
- Intermediate computer, productivity software, and EMR system skills
- Ability to operate fax machine, copier, and scanner
EDUCATION
- High school diploma or equivalent required
- Bachelor’s degree or higher preferred
EXPERIENCE REQUIREMENTS
- Previous medical office experience required
- Preference given to chiropractic, osteopathic, physical therapy, or orthopedic experience
- Preference given to current medical assisting, billing/coding, and/or chiropractic assistant diploma/certificate
