Medical Coordinator
Position Summary
We are seeking a highly organized, detail-oriented, and patient-focused Medical Coordinator to join our growing pain management practice. This is a hybrid support role that serves as a vital resource for both our front office and clinical team. The ideal candidate will have extensive experience in medical insurance, prior authorizations, and coordinating patient care in a fast-paced specialty practice.
This position requires someone who is proactive, efficient, and able to manage multiple responsibilities while delivering exceptional customer service to our patients.
Key Responsibilities
Welcome patients and provide a professional, compassionate experience during check-in and check-out.
Answer incoming telephone calls and return patient messages promptly and professionally.
Schedule new and established patient appointments while verifying insurance eligibility and benefits.
Verify insurance participation and ensure patients are scheduled appropriately based on their coverage.
Process and obtain prior authorizations for office visits, diagnostic testing, medications, imaging, and treatment plans.
Manage advanced procedure authorizations for pain management services, including but not limited to epidural steroid injections, facet joint injections, medial branch blocks, radiofrequency ablations, spinal cord stimulator trials and implants, peripheral nerve stimulation, joint injections, SI joint procedures, and other interventional pain procedures.
Coordinate with insurance companies to obtain approvals, submit supporting clinical documentation, monitor authorization status, and appeal denied requests when appropriate.
Communicate authorization requirements, approvals, denials, and next steps to patients, providers, and clinical staff.
Assist patients with questions regarding insurance benefits, referrals, prior authorizations, and medication approvals.
Monitor and manage the clinical inbox within the electronic medical record (EMR), ensuring timely routing and follow-up of patient messages.
Coordinate communication between providers, patients, pharmacies, imaging centers, and insurance companies.
Maintain accurate documentation within the EMR and ensure all patient records are current.
Support daily office operations and provide administrative assistance to both clinical and front office teams.
Maintain HIPAA compliance and patient confidentiality at all times.
Qualifications
Minimum of 2 years of experience in a medical office; specialty practice experience preferred.
Previous experience in pain management, orthopedics, spine, neurology, neurosurgery, or another interventional specialty is highly preferred.
Extensive knowledge of commercial insurance, Medicare, Medicaid, referrals, and prior authorization requirements.
Experience working with electronic medical records (EMR).
Strong understanding of medical terminology, CPT and ICD-10 coding concepts, and insurance authorization workflows.
Excellent communication and customer service skills.
Strong organizational abilities with exceptional attention to detail.
Ability to prioritize multiple tasks and work efficiently in a fast-paced environment.
Professional, dependable, and solution-oriented mindset.
Technical Skills
Proficiency with Microsoft Excel, Word, and Outlook.
Strong computer skills with the ability to quickly learn new software and technology.
Experience navigating EMR systems and electronic insurance portals.
Comfortable working across multiple software platforms simultaneously.
