Our Medical Front Desk Specialist is responsible for managing administrative tasks, patient reception, and scheduling in a healthcare setting. Key duties include greeting patients, answering phones, verifying insurance, collecting payments, scheduling appointments, maintaining patient records in an electronic health record (EHR) system, and ensuring the office runs smoothly and efficiently. This role requires strong customer service, communication, and computer skills, as well as knowledge of medical terminology and HIPAA regulations.
Key responsibilities
Greet patients in person and by phone, answer questions, and assist with their needs to ensure a positive experience.
Schedule, confirm, and revise patient appointments while optimizing provider time and treatment room usage.
Process correspondence, maintain office supplies, and handle various daily administrative duties.
Obtain and update patient financial information, collect co-pays and balances, and process insurance claims and payments.
Maintain patient records, including updating personal and financial information and ensuring accuracy in the electronic health record (EHR) system.
Protect patient rights by strictly maintaining the confidentiality of all medical, personal, and financial information in compliance with HIPAA.
Required skills and qualifications
Excellent communication and interpersonal skills, with the ability to be empathetic and professional.
Expertise with EHR systems, scheduling software, and standard office programs like Microsoft Office Suite (Word, Excel, Outlook).
Strong organizational skills to manage multiple tasks, maintain accuracy, and ensure a smooth workflow.
Basic knowledge of medical terminology and understanding of insurance plans is required.
High school diploma or GED, with medical office or administrative certification being a plus.
Previous experience in a medical office setting is preferred.
Ability to speak both English and Spanish is a plus.
