Hand + Physical Therapy NYC is a Therapist owned and operated boutique outpatient practice. Located in Union Square, New York City, we offer specialty Occupational Therapy , Physical Therapy, and Hand therapy services where our focus is on clinical care and customer service.In a boutique New York City therapy practice, the Front Office Administrator serves as the "face" of the clinic, managing high-touch client interactions and complex scheduling within a professional, often fast-paced environment.
We're looking for a people-person who can talk to patients, build trust, and keep the schedule full. Your voice, tone, and follow-up matter. If you enjoy connecting with people and making them feel taken care of, you'll thrive here.
This role is part receptionist, part sales, part patient advocate. You'll need to understand our services, speak confidently, and turn inquiries into booked appointments.
What You'll Do
Core Responsibilities
Client Experience: Greet clients warmly, manage the waiting and therapeutic atmosphere, and provide compassionate support.
Scheduling & Intake: Manage complex calendars for multiple therapists, process intake forms and verify insurance benefits or referrals.
Communication Management: Act as a liaison between therapists and clients by screening calls, responding to emails, and managing HIPPA compliant correspondence.
Financial Administration: Collect co-pays, process payments via platforms like Square, and assist with billing inquiries or out-of-network claims.
Office Operations: Oversee opening/closing procedures, maintain inventory of supplies, and ensure the reception and treatment areas remains pristine.
Essential Skills & Qualifications
Communication: Exceptional verbal and written skills; a "well-spoken" demeanor is often a requirement in NYC boutique settings.
Technical Proficiency: Experience with Electronic Medical Record (EMR) systems like WebPT and Google Office Suite
Soft Skills: High emotional intelligence, empathy, and the ability to maintain professional boundaries while handling sensitive medical information.
Detail-Oriented: Precision in managing confidential patient charts and complex scheduling backfills.
QUALIFICATIONS/REQUIREMENTS:
Therapy or Medical Practice Experience
Degree in Practice Administration
Effective interpersonal, organizational and communication skills.
