    Job Summary

    We are seeking a highly organized and professional Medical Office Administrator to oversee the daily operations of our integrated chiropractic practice. We offer Chiropractic, Acupuncture, Massage and Physical Therapy services to our patients for a one stop "under one roof" experience. This is hybrid role where you will work 3 days in the office and 2 days from home (if desired) to focus on Administrative and Billing tasks.

    This role is responsible for ensuring smooth patient flow, managing front‑office functions, coordinating provider schedules, and maintaining a positive and efficient work environment. The ideal candidate is skilled in insurance verification, prior authorizations, billing support, staff coordination, and patient communication. You will serve as the central point of contact for staff, patients, vendors, and providers, helping the clinic run seamlessly behind the scenes while delivering exceptional patient care.

    Clinical Operations

    Oversee daily front‑office workflow and ensure the clinic is clean, organized, and ready for patient care

    Ensure proper patient scheduling and adherence to treatment plans

    Maintain smooth patient flow and support front desk staff as needed

    Promote excellent customer service and patient satisfaction

    Foster positive team communication, morale, and a supportive work environment

    Partner with the owners to address HR issues and maintain a cohesive, respectful workplace

    Scheduling & Staff Coordination

    Coordinate provider schedules, staff schedules, time‑off requests, and coverage needs

    Support weekly staff meetings and maintain weekly performance statistics

    Billing & Insurance

    Complete insurance verifications and prior authorizations

    Manage daily ledgers, patient payments, and insurance payments

    Assist with billing tasks, including outstanding claims and TriWest accounts

    Run weekly and monthly billing and claims reports

    Administrative & Technical Support

    Oversee incoming faxes, emails, and patient communications

    Ensure new patient intake forms are imported and accurate charts are setup

    Maintain ChiroTouch access and coordinate with IT for technical issues

    Oversee inventory for front and back-office supplies

    Serve as primary contact for vendors and service representatives

    HR & Training

    Assist with hiring, interviewing, onboarding, and new‑hire paperwork

    Train staff on administrative procedures, policies, and workflows and updates

    Qualifications

    Self-starter

    Previous experience managing a healthcare facility

    Excellent communication skills and ability to respond to patients’ request gracefully

    Ability to supervise and motivate clinic staff in a positive manner

    High level of organizational skills

    Bachelor's degree in healthcare administration, health services administration, or related field is preferred but not required

    We are offering a signing bonus of $1,000. Salary or hourly rate is commensurate with experience and is possible to exceed the posted $90,000.
