Busy Medical Office seeking a clerical staff member to assist in various Departments: Scheduling, Records, and Reporting. This is a critical role for ensuring smooth operations and delivering high-quality customer service. As an essential team member, you will receive comprehensive guidance and training from the Department's Leads and/or the Clerical Supervisor.
Brief position summary/description: Clerical Department
*Accurately handle assigned referrals, considering specialty, request type, specific instructions, and any RUSH deadlines.
*Manage and confirm timely bookings, maintaining all documentation in the proper format within the file, tracking forms, server, and the database.
Use appointment books and the database for scheduling and records management.
Coordinate exams based on claimant residence in suitable locations and arrange special services if needed.
Verify examiner qualifications, locations, and current fees; communicate any necessary updates to admin. Check for potential conflicts. Review and confirm the doctors' fees and exam types to ensure doctors accept the specific case type and can address the listed issues.
When handling files, check the doctors' WCB authorization status and send relevant information to the admin. as needed
Identify any special services required, such as interpreters, transportation, or videotaping. Monitor for conflicts and review fees that may be excessive or require admin intervention.
Follow up on rescheduling or canceling exams and update documentation in the system.
Keep all parties informed about exam details and assemble necessary documentation and records.
Maintain regular communication with the Clerical Supervisor and Leads, discuss issues, seek assistance, and report on backlogged cases or new claims.
Answer phones (5 lines), handle calls, document calls, transfer calls, and take messages as needed.
Assist with other clerical tasks as necessary or when asked by the Supervisor or Dept. Team Lead.
Key Responsibilities:
Operate computers, phones, copiers/scanners, and work within the company's database, server, and email system.
Lift large trays/tubs of mail and heavy packages.
Handle time-sensitive and confidential paperwork and mail while ensuring compliance with HIPAA guidelines.
Maintain all documentation in an orderly manner.
Participate in cross-training and assist other departments during slow periods.
Comply with all CDC and OSHA health, safety, and security guidelines.
Follow procedures and guidelines consistently, pay attention to detail, and notify Management of any inconsistencies.
Maintain the highest levels of customer care while demonstrating a friendly, energetic, and positive attitude.
Demonstrate professionalism with management, Department Lead, and all co-workers.
Show flexibility in satisfying customer demands in a high-volume environment.
Perform data entry and typing with excellent verbal and written communication skills.
Work effectively both individually and in a team.
Be capable of performing multiple tasks.
Reliable transportation required.
Ability to sit or stand for extended periods.
Ability to lift 25–50 pounds.
