    SUMMARY OF POSTION

    The position of Office Manager requires a dedicated, enthusiastic, and extremely organized people-person. Employee is responsible for leading all office staff (including doctors) into a highly efficient, cohesive, and productive team with the goal of providing the best medical eyecare services and patient experiences. The Office Manager must be detail-oriented and dedicated to ensuring all jobs and tasks are completed at the highest level.

    To manage the operational, financial and personnel activities of the office while providing courteous and professional service, effectively communicating with patients and staff, and ensuring the best patient experience

    OPERATIONAL RESPONSIBILITIES

    • Maintain patient records and financial databases
    • Implement and assist in the development of office policies and procedures
    • Represent staff and participate in appropriate MOA committee activities & meetings
    • Monitor office operations and objectives to ensure the practice remains safe, secure, and well-maintained to ensure the most effective services are being provided
    • Oversee development of office statistics for analysis
    • Monitor office billing functions and revenue status
    • Develop, delegate, and monitor office operational goals, objectives and programs, and ensure timely completion
    • Implement and assist in the development of quality assurance programs for the office
    • Collaborate with all MOA's corporate team to ensure delivery of quality services
    • Confer with Managing Partner to resolve operational problems
    • Ability to solve problems, form reasonable and attainable solutions
    • Strong communication skills and ability to accept feedback
    • Strong organizational skills with attention to detail
    • Ability to collaborate with all staff members, patients, and vendor reps
    • Superior interpersonal and communication skills
    • Initiate, develop, and implement plans to increase productivity and morale

    • Knowledgeable of all aspects of optometric practices
    • Knowledge of medical insurance programs
    • Monitor and achieve profit, sales and performance goals
    • Convey a commitment to providing outstanding customer service and ensure all associates do the same
    • Overall understanding of IT software and equipment for optometric office and assist/facilitate arranging repairs when needed
    • Ensure quality standards are met and enforce policies to ensure compliance
    • Communicate with the Managing Partner and MOA's corporate team to provide reporting as required
    • Assist the Managing Partner with forecasting staffing needs, recruiting, selecting and retaining a high caliber staff
    • Responsible for accurate balancing of all office transactions, daily bookkeeping, and maintenance of petty cash
    • Motivate associates to exceed performance standards
    • Assist/facilitate as liaison when needed to increase practice visibility within the community
    • Assist in arranging repairs and upkeep of physical office when needed
    • Lead staff meetings when needed even in absence of Managing Partner
    • Maintain personnel files for all staff members
    • Other duties as assigned by the Managing Partners and/or MOA's corporate team

    SUPERVISORY RESPONSIBILITIES

    • Supervise and motivate all staff to ensure the timely completion of day-to-day functions
    • Monitor staff for quality performance and adherence to office procedures and policies
    • Develop and provide on-going training and staff development
    • Plan, allocate, and assign duties and responsibilities to all employees
    • Provide performance management to all employees
    • Assist with the recruitment and hiring of personnel
    • Liaison between Managing Partner and staff, including doctors, with all matters relating to personal time off, schedule changes, policies and procedures, and special projects
    • Prepare staff work schedules assuring proper office coverage
    • Mediate and solve staff and patient problems and conflicts
    • Ensuring office maintains HIPPA compliance
    • Maintain employment records of employees
    • Provide evaluations and review employees at proper intervals while maintaining record of reviews
    • Discipline employees and maintain legal standard documentation of events of verbal and written warnings

    QUALIFICATIONS/ REQUIREMENTS

    • High School degree/GED required. AA or BA/BS in related field is desirable
    • 3-5 years of related experience within a similar role in an office environment
    • Demonstrated success in a retail or office environment addressing a broad spectrum of customer requirements and preferences
    • Demonstrated ability to establish positive patient rapport and build relationships to establish repeat patient-trends
    • Ability to multi-task, set priorities and ensure that patient commitments/deadlines are met
    • Proficiency in utilization of automated equipment and systems standard to the optometry industry
    • Excellent communication, verbal, and written skills
    • Analytical reasoning is necessary with the proven ability to manage priorities in a fast paced, entrepreneurial environment
