    Medical Receptionist

    Position Overview

    We are seeking a highly organized, detail-oriented, and experienced Medical Receptionist to join our front-office team. This role is crucial as the first point of contact for our patients and requires exceptional skills in patient relations, efficient scheduling, and precise administrative tasks. A strong working knowledge of AthenaHealth EHR and expertise in accurate insurance verification and entry are essential for this position.

    Key Responsibilities

    Front Office & Patient Experience:

    Warmly greet and check-in/check-out patients in a friendly, professional, and efficient manner.

    Manage a high-volume multi-line phone system, triage calls, take messages, and route to appropriate staff.

    Schedule, confirm, and manage patient appointments, cancellations, and reschedules using the AthenaHealth EHR system.

    Handle patient inquiries regarding appointments, billing, and general office information.

    AthenaHealth & Data Accuracy (Primary Focus):

    Expertly utilize AthenaHealth EHR/Practice Management system for all front-office workflows.

    Register new patients and accurately update existing patient demographics and medical information directly into AthenaHealth.

    Ensure meticulous and correct entry of all patient insurance information, including policy numbers, group numbers, and plan details, into AthenaHealth.

    Process and classify documents (e.g., patient forms, outside records) into the correct patient charts within the AthenaHealth clinical inbox.

    Process patient referrals and prior authorizations as needed, tracking documentation within the EHR.

    Billing & Insurance Verification (Primary Focus):

    Verify patient insurance eligibility and benefits prior to scheduled appointments using AthenaHealth eligibility tools and/or payer portals.

    Clearly communicate verified coverage details, copayments, and outstanding balances to patients.

    Collect and accurately post copayments, deductibles, and outstanding balances at the time of service, reconciling daily payments (cash, credit card, etc.) in AthenaHealth.

    Demonstrate a working knowledge of different health insurance types (e.g., PPO, HMO, Medicare, Medicaid) and their registration requirements.

    Administrative & Compliance:

    Maintain strict patient confidentiality and adhere to all HIPAA regulations.

    Ensure the reception area remains clean, organized, and presentable.

    Perform other administrative duties as assigned to support the clinic's smooth operation.

    Required Qualifications

    High School Diploma or equivalent required.

    Minimum of 1-2 years of recent experience as a Medical Receptionist or in a front-office healthcare setting.

    Proven, hands-on working experience with the AthenaHealth Electronic Health Record (EHR) and Practice Management system is preferred.

    Demonstrated expertise in health insurance verification, correct data entry of insurance information, and copay collection.

    Proficiency in computer skills, including Microsoft Office Suite (Word, Excel) and email.

    Strong verbal and written communication skills.

    Exceptional organizational skills and meticulous attention to detail.

    Ability to multitask, prioritize, and remain calm in a fast-paced environment.

    Preferred Qualifications

    Familiarity with medical terminology.

    Bilingual (e.g., Spanish/English) is a plus.

    Experience with other specific modules within AthenaHealth (e.g., Patient Portal, Flowsheets).

    Bonus: If you have MA experience and would like to focus on clerical tasks, there is increased pay for being a backup MA.
