The Medical Receptionist provides excellence in customer service to Neurology Care’s patients. As a Medical Receptionist, you will be providing routine support alongside providers and medical staff. As a patient-focused professional, you will perform various services and related activities in support of patient care including accurate data entry for patient registration and insurance verification. The Medical Receptionist demonstrates the ability to use good judgment and communicates effectively with all patients, families, licensed personnel, insurance companies, and third-party payers.
The check-in process sets the tone for a patient’s visit (as does check-out) and overall satisfaction and operational efficiency.
Key Responsibilities: Medical Reception & Patient Services
Serve as the first point of contact for patients and visitors, greeting them courteously and efficiently
Manage patient check-in on clinical schedule and Phreesia, add or update patient history, verify insurance eligibility, collect copayments, and ensure proper referrals; update patients’ information if applicable
Verify appointment with the appropriate paperwork as necessary, mail registration to patients for upcoming appointments, and verify address for all returned mail
Proactive in obtaining completed paperwork for office visit; mail or fax documents as needed to the correct offices/contacts
Send Phreesia/text message registration to patients for upcoming appointments
Update patient information in chart provided by patient via paper registration/online, and maintain comprehensive medical records, logs and required checks (expired medications, referral confirmations, etc)
Assist with patient paperwork (e.g., HIPAA forms, ABNs) and demographic data entry; ensure patients receive quality care by keeping HIE information confidential
Ensure all related reports, labs, and information is recorded and scanned/indexed into patient’s chart prior to appointments
Give instructions to the patient as instructed by the provider (scheduling/messages), schedule appointments, and answer patient questions; complete any messages/emails/calls daily
Send daily progress notes to referring providers
Pull, scan and index records/EoBs/authorizations, etc
Follow up on referral confirmations, insurance referral updates/calls/verification as necessary
Administrative Support
Maintain a safe, secure, and healthy work environment by following and enforcing standards and procedures, and complying with legal regulations
Maintain organized stations (reception and management team must be able to find all documents/related work materials necessary in your absence)
Serve as a team player and perform other essential duties or pending tasks when needed in a positive and professional manner
Treat all individuals (patients, coworkers, and other professionals) with respect; bullying will not be tolerated
Maintain insurance information for all patients, scan in all insurance cards, and verify insurance through our practice management
Collaborate with internal teams to ensure efficient workflow
Assist in cleaning of station, department, patient areas, and bathrooms as necessary
Be observant of your surroundings and the safety of your team and patients
Other duties as assigned
Qualifications
1 year of medical office experience preferred
Ability to handle confidential information with discretion and professionalism
Strong customer service skills
