Job Overview:
The Emergency Room Medical Records Technician is responsible for managing clients’ health records and history at the assigned Military Treatment Facility. The Medical Records Technician (ER) performs receptionist, recordkeeping/registration, and clerical duties related to patient treatment in the Emergency Department (ED). Responsibilities include patient hand-off coordination, data entry via MS Access and MHS Genesis, and preparation of hard copies of retrievable data. The technician ensures accurate and timely documentation of patient information and supports the clinical team in maintaining efficient workflow and compliance with healthcare standards.
Key Responsibilities:
Tasks and Responsibilities
• Work for Pediatric Subspecialty Service, which includes twelve (12) subspecialty clinics and the Developmental Behavioral Pediatrics (DBP) multi-disciplinary clinic and providers.
• Receive and screen Secure Messaging elements and process within twenty-four (24) hours.
• Receive and screen calls for Pediatric Subspecialty Service, take messages, and generate In Between Encounters (IBE) as needed. Manage patient concerns, scheduling, check-in, check-out, and follow-up. needs. Attempts to resolve complaints of a local administrative nature and refers other complaints to the appropriate authorities.
• Maintains all patient records according to regulations. Ensures that the patient completes all necessary forms before being seen by the provider. Types routine correspondence, progress reports, etc., using various automation systems and programs.
• Input, retrieve, and manipulate data from the MHS Genesis EMR.
• Apply provider templates as needed for visiting providers and Specialty Fellows.
• Reconciles end-of-day processing and reports and works directly with the Pediatric Subspecialty Health Systems Specialist.
• Monitors and screens incoming faxes and distributes them to the appropriate provider boxes.
• Maintain neat and clean work area.
• Knowledge of and training in MHS Genesis, and in various Microsoft software programs, such as Access, Excel, PowerPoint, and Secure Messaging.
• Ability to display great tact and diplomacy both in person and on the telephone.
• Exceptional interpersonal and communication skills.
• Provide an average of six (6) actions an hour, eight thousand (8,000) administrative support actions annually.
• Maintains schedules and monitors patient appointment schedules daily as needed for Pediatric Subspecialty Services while maintaining patient confidentiality.
• Enters, manipulates, and/or retrieves information and data from automated systems (MHS Genesis) as appropriate for assigned areas daily.
• Receives patients and visitors as the point of contact to the office daily, in person and telephonically. Refers urgent messages and patient results for immediate action.
• Input statistical data for Pediatric Subspecialty Services.
Qualifications:
• Education
o High School diploma or GED equivalence.
• Experience
o Minimum six (6) months of experience within the past year in a medical environment with emphasis on healthcare.
o Minimum of one (1) year of professional experience within the preceding three (3) years as a General Clerk.
o Must possess basic medical terminology.
• Certification
o Current certification in Basic Life Support (BLS) or Heart Saver equivalent, certified through the American Heart Association or American Red Cross.
• Skills
o Fully qualified typist with a minimum of fifty (50) WPM.
o Proficiency in standard office equipment and software systems.
o Understanding of medical terminology, anatomy, physiology, pharmacology, and treatment modalities.
• Citizenship
o Must be a United States citizen.
Preferred Qualifications
• Experience working with Veterans, Service Members, and Federal Employees.
• Previous experience working with:
o Defense Enrollment Eligibility Reporting System (DEERS)
o Health Artifact and Management Solutions (HAIMS)
o Medical Health System Genesis (MHS Genesis)
o Defense Medical Human Resources System-Internet (DMHRSi)
o Joint Legacy Viewer (JLV)
Labor Rate: $28.61/hr.
