Position Overview
Edify Behavioral Management LLC is seeking a highly organized and dependable Medical Records Clerk / Administrative Coordinator to support the daily administrative and medical records operations of our behavioral health office.
This role is essential to maintaining accurate client documentation, coordinating communication between departments, and ensuring the office operates smoothly each day.
The ideal candidate is detail-oriented, proactive, and able to manage multiple responsibilities independently in a fast-paced healthcare environment.
Key Responsibilities
Medical Records & Documentation
Ensure all client documents are properly uploaded and organized in the Electronic Health Record (EHR) system.
Monitor charts to confirm required documentation is complete and current.
Assist staff in locating or submitting required clinical documents.
Maintain compliance with HIPAA and confidentiality requirements.
Eligibility & Authorization Verification
Conduct client eligibility checks with insurance providers.
Track authorization information and communicate updates to clinical staff.
Assist with monitoring active authorizations and documentation related to services.
Office Operations
Open and close the office each business day.
Maintain a professional and organized office environment.
Monitor shared office spaces and ensure administrative areas remain functional and orderly.
Communication & Coordination
Serve as a communication bridge between administrative staff, clinicians, and leadership.
Monitor office communication channels including email, fax, and phone messages.
Ensure important information is distributed to the appropriate departments.
Administrative Support
Assist with daily administrative tasks as needed.
Support workflow management related to intake, documentation, and records tracking.
Respond to administrative needs throughout the day to support efficient operations
Qualifications
High School Diploma or GED required
Prior experience in medical records, healthcare administration, or behavioral health preferred
Familiarity with Electronic Health Record (EHR) systems preferred
Demonstrated proficiency in Microsoft 365 business applications (Excel, SharePoint, Outlook, Microsoft Lists, etc.)
Strong organizational and multitasking skills
Excellent written and verbal communication skills
Ability to work independently with minimal supervision
Strong attention to detail and ability to manage confidential information responsibly
